Job Description: Office & Operations Executive (All-Rounder Support Role)

Role Overview:

We are looking for a proactive, resourceful, and hands-on Office & Operations Executive to support the day-to-day running of the agency. This is a dynamic, multi-functional role ideal for someone who enjoys variety, takes ownership, and thrives in a fast-paced environment.

You will work closely with the founder and play a key role in keeping operations, administration, finance coordination, and events running smoothly. The role offers strong exposure across business operations, finance processes, and agency management.

Key Responsibilities:

Office & Administrative Management

• Oversee daily office operations and ensure smooth workflow

• Manage office supplies, vendors, utilities, and general upkeep

• Coordinate schedules, appointments, and internal documentation

• Handle correspondence, filing, and record keeping

Finance & Accounting Support

• Prepare and issue invoices regularly using Xero

• Track payments, expenses, and basic bookkeeping records

• Manage internet banking transactions (rent, vendors, salaries, reimbursements, etc.)

• Liaise with external accountants/bookkeepers when required

Operations & Business Support

• Provide direct support to the founder in running the agency

• Assist with coordination of projects, vendors, and stakeholders

• Support basic reporting and administrative processes

• Ensure tasks and timelines are followed through effectively

Events & Media Support

• Assist during company events, workshops, or activities

• Capture photos and videos for documentation and marketing use

• Support logistics and on-site coordination when required

Requirements:

• Experience in office administration or operations support
• Familiarity with Xero (or similar accounting software)
• Comfortable handling internet banking and payment processes
• Organized, detail-oriented, and trustworthy with financial matters
• Tech-savvy and comfortable using digital tools
• Able to multitask and work independently
• Positive attitude and willing to take on diverse responsibilities

Senior lyf Guard

Job Description

The Senior lyf Guard is responsible for assisting the lyf Captain in managing the team of lyf Guards, in addition to performing the role of a lyf Guard. He/she is a multi-faceted community leader, who revels in creating an inclusive and collaborative community at lyf.

(A Senior lyf Guard can be referenced to Assistant Guest Services Manager roles at current Ascott Properties, and Assistant Community Manager roles at co-working and co-living companies).

Major duties & responsibilities:

1) Take care of all residents from arrival until departure without imposing themselves on the residents by:

a. Assisting lyf residents with their check-in via lyf app, and mobile key activation.

b. Exploring the various functions of the lyf app with residents. E.g. mobile key, message board, etc.

c. Encouraging residents to explore and interact with the lyf community

d. Handling resident queries pertaining to facilities, services, registration and information regarding shopping, banking, dining, entertainment, local events, etc.

e. Dealing with complaints from residents and ensuring that residents are appeased

f. Conducting tours for lyf residents and potential residents, as well as business partners.

g. Handling resident related correspondences

2) Ensure operational efficiency by:

a. Monitoring room availability using the PMS

b. Ensuring that procedures & processes carried out by the lyf Guard team adheres to corporate guidelines

c. Performing book-keeping activities whenever necessary

d. Doing regular rounds to ensure cleanliness of property, especially in social spaces.

e. Handling walk-ins, emails, and phone enquiries.

f. Carrying out light housekeeping/engineering duties and liaising with relevant outsourced contractors for cleaning and maintenance

g. Ensuring the property is sufficiently stocked with stationery and marketing collaterals

h. Reviewing activities in the lyf Guard team, improving the department, and enhancing efficiency.

i. Ensuring all resident refunds through credit cards are submitted to Finance on a timely basis.

3) Create an inclusive and collaborative community by:

a. Maintaining resident preference profiles and track their likes and dislikes

b. Assisting the Ambassador of Buzz to:

i. Curate and plan calendar of events for residents

ii. Execute community initiatives designed to create connections between residents

iii. Supervise in-building events for compliance with house rules and intercede or escalate issues as they arise

c. Solving resident related issues to ensure a cohesive community and to manage resident expectations

d. Proactively interacting with residents and providing constructive recommendations to enhance their stay experience

Our client is looking for a driven and customer-oriented Inside Sales Executive to support the car rental/leasing business. This role focuses on generating new business opportunities while maintaining strong relationships with existing customers to drive retention and growth.

Key Responsibilities

Inside Sales (New Customers)
• Identify and qualify potential customers through inbound leads, cold calls and outreach
• Conduct calls to understand customer needs and generate qualified opportunities
• Arrange appointments and hand over qualified leads to the Sales team
• Manage and track leads using CRM systems
• Work closely with Marketing and Sales teams to improve lead conversion

Account Management (Existing Customers)
• Manage relationships with existing and key accounts

Requirements

• Diploma in any discipline (or relevant experience)
• Experience in inside sales / customer service / tele-sales preferred
• Strong communication and interpersonal skills
• Comfortable with cold calling and handling objections
• Ability to manage multiple leads and accounts
• Familiar with CRM systems is an advantage
• Knowledge of automotive / leasing industry is a plus

Additional Salary Information

• Performance bonus based on sales & account rentention KPIs (up to approximately 2.5 months)

Purpose of the Job:

• To continuously improve Wafer processes and capabilities to attain the highest quality and productivity through work simplifications and standardization, implementation of best-known methods and controlled operating procedures

Key Job Accountabilities:

• Sustain and provide continuous process improvement through planning, evaluating, verifying and executing procedures to ensure that products meet all customers’ requirements in terms of quantity, yield and cycle time. 
• To provide interim and long-term corrective actions for any discrepancies.
• Liaise with customers & potential customers on development & improvement of process, material and equipment capabilities.

Scope of the Job:

• In-charge of photo resist coat, exposure, develop and curing process for PI (e.g. HD4100) and PR (Positive, Negative).  Different photo sensitive material is coated in different machines and different exposure machine types (steppers & aligners).
• Setup recipe for new devices.  Process characterization for every new device: coating thickness, exposure recipe and CD after develop. 
• Working closely with mask designer to continuously update wafer process design rules so to improve process capability and productivity.
• Perform continuous improvement activities for top defects, process simplification and throughput improvement.
• Monitor process capability in terms of input parameter control and SPC monitoring

Required Experience and Qualifications:

• Requires Degree in Engineering, Material Sciences, Chemistry or equivalent
• Minimum 2 years of relevant experience in wafer bumping or wafer fabrication
• Minimum 5 years of experience in relevant area is an added advantage
