Job Summary

You will manage comprehensive financial and administrative functions including accounts processing, reconciliation, payroll, HR administration, and internal controls to support operational efficiency and compliance in a fast-paced environment.

Responsibilities

• Process accounts payable and receivable transactions accurately to ensure timely payments and collections
• Perform financial reconciliations to maintain accurate records and support financial control measures
• Administer payroll processing in compliance with Singapore statutory requirements to ensure accurate and timely employee compensation
• Manage HR administrative tasks to maintain employee records and complete statutory submissions
• Implement and monitor internal control and risk management procedures to safeguard company assets and ensure regulatory compliance
• Handle and update government agency applications and renewals to maintain compliance with statutory obligations
• Utilize accounting software and online banking platforms efficiently to streamline financial operations
• Communicate effectively with internal teams and external stakeholders to resolve payment and payroll issues
• Organize and prioritize tasks independently to meet deadlines in a fast-paced work environment
• Maintain high levels of integrity and responsibility when handling sensitive payment and payroll information

Preferred competencies and qualifications

• Basic knowledge of Singapore payroll and statutory requirements to enhance payroll accuracy and compliance

Job Description

Roles & Responsibilities

• Responsible for full spectrum of payroll processing, including but not limited to income tax filing and IR21 clearance, CPF submission, statutory claims such as NS-MUP, government paid leaves and payroll audits.
• Checking of time attendance and roster to ensure payment of hours, including overtime are correct.
• Processing of full-time, part-time and casual labour payroll matters, payroll reconciliation, and tax documents.
• Ensure timely and accurate monthly payroll processing. Ensure timely and accurate pay out and compliance with the statutory requirements and regulations.
• Processing of all leave and claims, such as Maternity Leave, Childcare leave, Medical Leave, Annual Leave, ICT leave etc.
• Prepare monthly payroll related reports and reconciliation and resolve any payroll discrepancies.
• Assist HR Manager in payroll projection during budget exercise, salary review exercise, process streamlining, payroll system change/upgrading (if any) etc.
• Work closely with Finance to reconcile monthly payroll report and budget variance report.
• Assist in payroll audit from external auditors.
• Support the current processes of compensation and benefits, government grants and the necessary statutory submissions such as MOM survey.
• Handle employees’ payroll-related enquiries, with huge manpower volume
• Other ad-hoc or administrative duties as and when assigned.
• Able to start work immediately.

Job Requirements

• Minimum Diploma holder with at least 1-year related HR experience.
• Working knowledge with infoTech/iRep system is an advantage.
• Familiar with Employment Act is an advantage.
• Proficient in MS Office Applications (e.g. MS Word, Excel, PowerPoint).
• Familiar with the security industry will be an advantage.
• Meticulous with an eye for details.
• Able to cope in a fast-moving environment and work independently.

Requirements

• Preferably Candidate with Diploma,Advanced/Higher/Graduate Diploma, Human Resource Management or equivalent.
• At least 3 year(s) of working experiencein the related field is required for this position.

Key Responsibilities:

• Manage job postings, screen resumes, conduct interviews, and facilitate new hire onboarding to ensure timely recruitment and smooth integration of employees.
• Work pass application process
• Preparing and processing timely distribution of salary, bonus, increment salary slip, and leave encashment
• Maintaining HR records, such as those related to compensation, health, medical insurance, and WICA insurance.
• Maintain accurate and up-to-date employee records, including contracts, leave, and attendance to support effective personnel administration.
• Serve as the primary point of contact for staff queries related to benefits, payroll, and workplace grievances, fostering positive employee relations.
• Coordinate employee engagement and corporate social responsibility events for a global hybrid workforce, managing the lifecycle of the event including, logistics, communications, outreach, volunteer recruitment, and participation.
• Facilitate employee wellness programs to enhance the employee experience leading to increased employee engagement, morale, and overall job satisfaction
• Track staff training needs and assist in coordinating career development programs to support employee growth and organizational capability.

Preferred competencies andqualifications

• Diploma or Degree in Human Resources Management, Business Administration, or a related field.
• 1 to 3 years of hands-on experience in HR operations or administrative support.
• Proficient use of HR software to manage HR processes efficiently.
