Overview

We are looking for a meticulous Accounts Payable Executive to handle end-to-end invoice processing and ensure accurate, timely recording of all supplier transactions. This role plays a critical part in maintaining financial accuracy, supporting smooth payment cycles, and ensuring compliance with company policies and local regulations.

Key Responsibilities

Invoice Processing

-Review, verify, and process supplier invoices accurately and on time

-Perform 3-way matching (invoice, purchase order, goods receipt)

-Ensure proper approvals and supporting documents before posting

-Check invoice details such as pricing, quantities, and tax (e.g. GST)

Accounts Payable Operations

-Record invoices into the accounting system

-Monitor AP aging and ensure payments are made within agreed credit terms

Reconciliation & Issue Resolution

-Reconcile vendor statements and investigate discrepancies

-Liaise with vendors and internal departments to resolve invoice issues

-Handle queries related to billing and payment status

Compliance & Reporting

-Ensure adherence to company policies and internal controls

-Maintain proper documentation and filing for audit purposes

-Support month-end closing and audit requirements

This is a contract position within the Partnership team at the Lifelong Learning Singapore (LLSG). The role provides generalist support across partnership management, programme coordination, and event execution. The incumbent will work across LLSG’s Comms & Outreach and Advisory clusters in addition to the Partnerships team and will play a critical role during the SkillsFuture Festival (SFF) period before transitioning to support the team's leadership programme and ongoing community engagement initiatives through the rest of the year.

Responsibilities:

Partnerships Support

• Assist in the day-to-day management of existing partnerships, including coordination with partners on deliverables and event participation
• Support onboarding of new partners and maintenance of partnership records

Stakeholder Coordination & Meeting Management

• Coordinate with internal stakeholders across the Partnership team and other LLSG clusters, including Comms & Outreach and Advisory Team
• Engage with external partners and programme stakeholders to align on deliverables and timelines
• Take minutes at meetings and circulate action items
• Track and follow up on outstanding action items to ensure timely closure
• Maintain planning trackers and flag items at risk of slippage to the reporting officer

Reporting & Data Visualisation

• Track and report on partnership engagement metrics, including number of active enterprise partners and depth of engagement across programmes
• Consolidate career conversion and jobs engagement data across events and monthly programmes
• Monitor thought leadership programme performance, including online reach, impressions, and audience engagement metrics
• Track participant and partner feedback scores, identifying trends to inform programme refinement
• Present findings in a narrative-driven format that tells the story behind the numbers and supports strategic planning

Thought Leadership Programme

• Provide coordination and administrative support for LLSG’s thought leadership series
• Liaise with speakers, partners, and internal teams on programme logistics
• Assist with post-event reporting and documentation

Event & Community Engagement Support

• Provide on-site support at partnership events and community engagement activities, including those held in the evenings and on weekends
• Support monthly Career Conversion Programmes held on campus, including logistics coordination and on-ground execution
• Coordinate with partners and internal teams to ensure smooth programme delivery and participant experience

SkillsFuture Festival (SFF) – Near-Term Priority

• Serve as a key operational support for SFF partnership logistics and on-site coordination
• Consolidate post-event reports and data across multiple SFF touchpoints

Requirements:

• Diploma or Degree in Business, Communications, or related field
• 2 to 3 years of relevant experience inpartnerships, events, or programme management
• Strong communication and stakeholder management skills
• Comfortable working outside of regular hours for evening and weekend events
• Proficient in MS Office; experience with data visualisation tools such as PowerBI or equivalent is an advantage
• Strong ability to synthesise data into clear, visual, and actionable reports
