Job Purpose

Promote, develop and maximize the sales of Allegion products by way of specification-writing services/industry networking/trend sharing to be provided to architects, interior designers, end-users and Allegion project team.  Includes preparation of technical performance specifications and door-to-door hardware schedule and the management of project bidding documentation in accordance with project scope and deadlines.

Key Accountabilities

Prepare architectural door hardware and/or performance specification documents in accordance with applicable international and local building codes, security and safety standards.

o  Write and amend specifications / quotations and ensure information is passed on for the purposes of ordering and forecasting stock.  Specifications must be written accurately and timely according to requirements from the sales team stakeholders.

o   Manage project bidding documentation, samples and technical submissions.

o   Provide specifiers, customer and distributor technical training.

o    Provide technical support to internal and external customers either by phone or face to face.

o    Project support and liaising between sales team and/or customer.

o    Strongly reflect the vision and values of Allegion.

o    Assist Management with tasks as and when required.

o    Conduct Presentations to Architects/Designers/Clients on a regular basis.

o    Ensure Allegion’s specifications is tendered for projects.

Job Specification

Job Knowledge / Technical Skills / Qualifications

o    Minimum 4-5 years’ experience.

o    Minimum 3 years' work experience in building materials industry or the architectural profession.

o    Bachelor's degree in mechanical/electronic engineering, civil architecture, business or similar degree

o    Good industry knowledge and contacts in regional architectural design institutes, interior designers and real estate developers

o    Accurate data entry skills.

o    Proficient in MS Access, Word, Excel

o    Desirable: Knowledge of specification software

o    Desirable: Business Information Modelling (BIM)

Responsibilities

• Prepare and dispatch accurate customer invoices in a timely manner using SAP when required
• Manage accounts receivable by tracking outstanding balances, following up on overdue payments, and resolving billing issues
• Capture and update all received payments in SAP
• Work closely with Sales, Operations, and vendors to address invoicing, pricing, quantity, and documentation concerns
• Ensure proper maintenance of AR records with a complete and auditable documentation trail
• Contribute to month-end closing activities, including AR cut-off and reconciliation tasks
• Assist in preparing balance sheet schedules and performing account reconciliations
• Handle reconciliations for bank, intercompany, and clearing accounts when required
• Compile audit schedules and provide responses to audit inquiries
• Ensure all financial transactions adhere to established processes and internal controls
• Identify and escalate upstream discrepancies impacting Finance, such as incorrect pricing, quantities, tax codes, or missing documentation
• Maintain strict compliance with documentation standards, approval processes, and timelines
• Support ad hoc accounting and finance duties to ensure efficient daily operations

Requirements

• Diploma or Degree in Accounting, Finance, or a related discipline
• Relevant experience in Accounts Receivable and basic accounting processes
• Experience with SAP systems is an added advantage
• Strong attention to detail with a responsible and proactive approach
• Able to perform effectively in a dynamic and fast-paced work environment

Assist on all spectrum of HR and Admin functions but not limited to duties below:

• Selection and recruitment, on and off boarding which include application, renewal and termination of foreign work passes.

• Training support such as course sourcing and application, apply training grant application, and claims.
