• Collaborating with contractors on preventive measures and maintenance resolutions.
• Managing repair, renovation, and maintenance quotations, reports, and payments.
• Supporting and attending key meetings such as council meetings and Annual General Meetings (AGMs).
• Being part of the operations team to support meetings, including council meetings and AGMs, by coordinating all preparations for seamless execution.

• At least 3 years of hands-on experience in a similar role, managing residential and/or mixed development properties.
• At least a Higher NITEC in Facilities Management, Real Estate Business, Hotel & Leisure Facilities Management, or equivalent qualifications.
• Familiar with the Building Maintenance and Strata Management Act (BMSMA) is a plus, but not essential.

Job Summary

We are seeking a proactive Office Operations Executive to coordinate administrative, finance, HR, and project support functions, ensuring seamless daily operations within a dynamic IT services environment.

Responsibilities

• Manage daily office operations to maintain an organized and efficient workplace
• Handle correspondence, documentation, and filing systems both digitally and physically
• Coordinate meetings, manage calendars, and facilitate internal communications
• Assist project teams by preparing documentation, scheduling activities, and coordinating resources
• Track project progress and maintain accurate operational records to support project delivery
• Support staff and client onboarding and offboarding processes to ensure smooth transitions
• Assist in preparing invoices, quotations, and tracking expenses for finance operations
• Liaise with vendors and suppliers to fulfill procurement requirements efficiently
• Maintain basic financial records in coordination with external accountants
• Coordinate recruitment activities including interview scheduling and onboarding support
• Maintain employee records and manage HR documentation accurately
• Support internal engagement initiatives and coordinate training sessions
• Serve as a primary contact for general inquiries to facilitate communication flow
• Coordinate administrative matters with clients and partners to support business relationships

Required competencies and certifications

• Diploma or Degree in Business Administration, Management, or related field
• 1–3 years of experience in administrative or operations roles
• Strong organizational and multitasking skills demonstrated through managing office operations and project support
• Effective written and verbal communication skills for internal and external interactions
• Proficiency in Microsoft 365 applications including Outlook, Excel, Word, and Teams

Preferred competencies and qualifications

• Experience working in IT services, SaaS, or Microsoft technology environments
• Familiarity with SharePoint, Power Apps, or CRM systems to support digital workflows
• Basic knowledge of finance and administrative processes to assist operational tasks
• Experience supporting project teams or technical departments to enhance coordination
