JOB OVERVIEW 

Responsible for managing end-to-end import shipment operations and customer account activities to ensure timely cargo movement, regulatory compliance, and service excellence. • Support urgent shipment communications with customers and origin stations outside normal office hours where required. 

Special Cargo & Compliance Management 

• Manage pharmaceutical cold chain shipments, valuable cargo, strong room storage, and escorted cargo requiring enhanced monitoring and status updates. 

• Process customer permits submitted via external forwarders by updating permit information, HS codes, descriptions, and documentation into relevant systems for submission.

• Generate COD invoices including GST and local handling charges for applicable customers.

Business Support

Responsibilities:

Strategic Business Management & Governance:

• Lead strategic oversight and governance of shared services operations supporting multiple business units including Trading and Wealth Management divisions

• Able to manage the initiatives and projects relating to system change or workflow within Operations with Business.

• Understand the structure of each deal & items stating in the checklist prior preparing the reconciliation template
• Close follow-up with Line Manager to ensure checklist is drawn up for each agreement prior the deal commences, making sure the checklist is updated whenever there’s changes to the deal
• Setup contract details in system together with billing instructions to facilitate correct invoicing to customers
• Update customers on the monthly slot charges with bunker update & ensure correct fixed slot invoices issued promptly to customers
• Extract customers’ loading information – to scrutinize the report & probe agents for clarification on any data discrepancies, also follow up to ensure system gets updated with correct records
• Submit reconciliation statement to customers on their slot usage against their slot commitment, it has to be drawn up accurately & submit within stipulated timeframe
• Follow up with customer for the statement confirmation & ensure accurate & timely issuance of invoices
• Handle queries raised by customers & resolve the disputes independently

Responsibilities

We are seeking for a resourceful, experienced and committed individual to manage the following:
