Job Description

Providing administrative and logistics support assistance for:

a)     Graduation Ceremony

i)      Administrative preparations e.g. graduation microsite, invites and follow up to VIP/corporate guests

ii)    Coordination with vendors and logistic workers

iii)  Review of improvement areas and implementations

iv)  Procurement, including coordination on calling of tender/ Request of Quotations, review for extension of procurement contracts e.g. graduation attire, refreshment, photography, logistic setups

b)     Secretariat support for

i)    Major meetings (e.g. Board of Governors, Polytechnic Principals)

ii)  Board matters, including appointment renewal, collation of contributions

c)     Support division’s operational areas while staff are involved in preparations for the new student disciplinary system and data migration

d)     Assist in the new student disciplinary system’s preparation, including data migration and testing

e)     Recordkeeping of division’s key work areas, including physical file inventory, hardcopy file disposal, course registry

f)      Other ad hoc projects

Job Description

1. Foster Parent Training & Engagement

• Support the coordination and administration of training programmes for foster parents.
• Liaise with foster parents on outreach and engagement initiatives, including events and sharing sessions.
• Assist in planning, coordinating, and following up on engagement activities.

2. Fostering Publicity & Outreach

• Liaise with partner organisations, fostering agencies, and vendors to support outreach efforts and ensure smooth execution of events.
• Assist in the planning and coordination of publicity campaigns and outreach activities related to fostering.

3. Management of Fostering Applications

• Support the end-to-end application process, ensuring a smooth and positive experience for applicants.
• Engage applicants to follow up on required documentation and processes.
• Conduct pre-assessment interviews and coordinate with partner agencies where necessary.

Job Requirements

• Minimum Diploma or Degree in Arts & Social Sciences, Business, Psychology, or related fields (e.g., volunteer or event management).
• Strong written and verbal communication skills with attention to detail.
• Ability to engage effectively with both internal and external stakeholders.
• Good project management and problem-solving skills.
• Proficient in Microsoft Word, Excel, and PowerPoint.
• A team player who is also able to work independently under pressure.

International Trade & Pricing Specialist

Responsibilities
IOR/EOR Operations & Documentation:

• Assist in pricing, coordinating and managing the end-to-end IOR/EOR process for global shipments.
• Coordinate with customers, freight forwarders, and customs brokers to facilitate smooth clearance and delivery of goods.
• Verify shipping documents, including invoices, packing lists, and certificates of origin, to ensure accuracy and compliance.
• Maintain accurate and organised records of all shipments, customs entries, and compliance-related documentation.
• Assist with the preparation of import/export permits, declarations, and other required trade documents.

Agent Communication, Sourcing & Pricing:

• Collaborate with agents to gather required information and ensure compliance with local regulations. 
• Support pricing discussions and negotiations with partners to achieve competitive and sustainable rates.
• Identify and source new overseas agents or service partners when required to support operational and pricing needs.
• Build and maintain effective working relationships with existing and new partners.

Regulatory Trade & Compliance:

• Stay updated on customs regulations and trade policies in various countries.
• Ensure all shipments comply with relevant import/export laws and guidelines.

Problem Resolution & Ad-hoc:

• Identify and resolve operational issues, such as shipment delays, missing documents, or customs holds.
• Escalate critical issues to the relevant department as needed.
• Provide general administrative support to the operations team as required.

Job Requirements:

• Diploma in International Business, Logistics, Supply Chain, or related field.
• 1 - 2 years of experience in logistics, freight forwarding, or trade operations.
• Familiarity with IOR/EOR processes and international trade regulations is a plus.
• With knowledge of APAC trade regulations is an advantage.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
