Stewardship

We are seeking a proactive and well-organised Administrative Executive to support the Electrical and Electronics team. This role is key to ensuring smooth day-to-day operations through effective management of administrative processes and coordination with multiple stakeholders.

Key Responsibilities

• Provide administrative support, including but not limited to quotation preparation, order creation, and accurate record maintenance
• Prepare and track job orders and related documentation
• Support customer service activities, ensuring timely and professional responses and follow-ups
• Coordinate schedules and service arrangements with relevant internal and external stakeholders
• Maintain proper filing of all documentation (softcopy and hardcopy)
• Provide general and ad-hoc administrative support as required
• Continuously review and improve administrative processes

Requirements

• Diploma or equivalent qualification
• At least 2–3 years of relevant administrative experience, preferably in a customer-facing, engineering, technical environment
• Strong customer service mindset with good communication skills
• Well-organised, detail-oriented, and able to manage multiple tasks effectively
• Comfortable working with IT systems and Microsoft Office (Word, Excel, Outlook)

JOB DESCRIPTION

• Providing administrative such as handling of calls, emails, follow-ups
• Supporting the department in managing appointments, calendar, and scheduling of meetings via face to face / online
• Performing filing (physical and electronic)
• Handling client communications
• Preparing, drafting, and formatting legal documents
• Organising and maintaining legal files and records
• Assisting with trial preparation (binding, photocopying, document arrangement)
• Preparing and submitting reports and applications
• Onboarding and managing files efficiently
• Assisting with billing, invoices, and other basic administrative tasks
• Ensuring confidentiality of all documents
•  Assisting in supporting other duties as required

WORKING HOURS

RESPONSIBILITIES

1. Centre Engagement

• Perform community screening, befriend the elderly, and support outreach activities or public education efforts
• Conduct health assessments for seniors/clients
• Establish and maintain good interpersonal relationships with clients, caregivers,volunteers, and the community
• Ensure the safety and well-being of clients, implement and monitor progress of clients' individual care plans
• Build and foster supportive buddying relationships between clients, volunteers, and staff to promote socialization and reduce isolation

2. Volunteer Management

• Assist in volunteer management and conduct orientation programs
• Train volunteers in conducting active aging activities and buddying initiatives for seniors/clients
• Encourage volunteers to engage in befriending relationships with seniors to enhance their emotional and social well-being

3. Programme Planning and Execution

• Plan, organize, implement, monitor, and evaluate the Centre's programs, activities, and events, creating a regular activity calendar
• Assist and facilitate activities for clients alongside the care team
• Facilitate or conduct classes for senior lifelong learning

4. Programme Management & Reporting

• Oversee the management of key programs, ensuring timely execution and achievement of objectives
• Coordinate and manage events and partner relationships, ensuring clear communication and smooth execution
• Provide timely and accurate reporting on the progress of programs, including key milestones, risks, and resolutions

5. Staff Relations

• Work closely with the care team to foster team spirit and ensure cohesive work relationships in the best interest of our clients

Qualifications & Job Requirements

• Bachelor's degree or Diploma in Community Development, Social Work, Public Administration, or a related field preferred
• Proven experience in community development, or a similar role
• Strong interpersonal and communication skills, with the ability to engage diverse populations
• Proficient in Microsoft Office Suite and familiar with community engagement platforms

Job Summary

Manage accounting functions including month-end closing, accounts receivable/payable, bank reconciliation, and GST submissions to support accurate financial reporting and compliance for property management operations.

Responsibilities:

• Perform month-end closing activities by posting journals and reviewing accounts to ensure accurate financial records
• Prepare and deliver financial reports within set timelines to maintain reporting accuracy
• Process and control accounts receivable and accounts payable to manage cash flow effectively
• Conduct bank reconciliations to verify and reconcile financial transactions
• Liaise with external auditors to facilitate audits and ensure compliance with financial regulations
• Submit GST returns accurately and on time to meet statutory requirements
• Manage general administrative tasks to support smooth office operations
• Execute additional duties as assigned to contribute to team and organizational goals

Requirements:

• Diploma in Accounting or equivalent qualification
• Proficient in Microsoft Office applications including Excel, Word, and Outlook
