In this role, you will be responsible for ensuring accurate sales reconciliation, timely processing of payments, and proper maintenance of financial records, while supporting month-end closing and reporting. You will also gain hands-on exposure in managing the full set of accounts within a fast-paced retail environment, working closely with the finance team to ensure accuracy, compliance, and operational efficiency.

Responsibilities

1. Daily Operations & Reconciliation

- Reconcile daily sales reports against showroom data
- Assist in preparing salesforce and showroom performance reports
- Process customer refund requests with proper documentation
- Manage petty cash, including reimbursements and tracking

2. Accounts & Payments

- Perform bank reconciliations
- Prepare vendor payment listings and support payment processing
- Review and reconcile merchant statements and cash receipts

3. Closing & Reporting

- Prepare basic month-end schedules (e.g. prepayments, accruals, fixed assets)
- Assist in month-end closing using ERP (Globe 3) system
- Support preparation of management accounts (P&L, Balance Sheet)

4. Compliance, Audit & Support

- Assist in GST computation and submission
- Prepare supporting documents for audit
- Assist in stock take and inventory reconciliation
- Follow finance SOPs and support process improvements
- Perform ad hoc duties as assigned

We are looking for a meticulous and responsible Accounts Executive to support our finance team on a 3-month contract basis. The role focuses on handling Accounts Payable (AP) and Accounts Receivable (AR) functions and ensuring timely and accurate processing of transactions.

Location: West (Near Gul Circle MRT)
Working Hour: Mon - Fri, 8AM-5PM

Accounts Payable (AP):

• Process and verify supplier invoices
• Perform 3-way matching (PO, DO, Invoice)
• Prepare and process vendor payments
• Reconcile supplier statements and resolve discrepancies

Accounts Receivable (AR):

• Issue invoices to customers
• Monitor incoming payments and update records
• Follow up on outstanding receivables
• Perform customer account reconciliations

General Duties:

• Assist in month-end closing
• Maintain proper documentation and records
• Support audit and finance team as needed
• Handle ad-hoc duties assigned

• Handle full sets of accounts for multiple entities, including General Ledger, journal entries, Accounts Receivable (AR), and Accounts Payable (AP).
• Perform monthly and year-end closing of management accounts with proper documentation and reconciliation of debtor and creditor balances.
• Review invoices and supporting documents (e.g., purchase orders, delivery orders, receipts) to ensure accurate payment processing and expense tracking.
• Prepare and execute payments via GIRO and telegraphic transfers, ensuring timely settlement.
• Manage intercompany transactions, re-billing, and perform bank and balance sheet reconciliations.
• Prepare and issue invoices, and investigate or resolve any billing discrepancies.
• Support the preparation of statutory financial statements and tax filings, ensuring compliance with regulatory requirements.
• Prepare monthly cash flow forecasts and monitor daily cash flow movements.
• Manage petty cash claims and maintain accurate records in line with company policies.
• Maintain and update vendor information in the accounting system.
• Assist in coordinating internal and external audits.
• Ensure all financial transactions comply with company policies and approval processes.
• Perform other ad-hoc accounting and administrative duties as required.

Requirements

• Diploma or Degree in Accountancy, LCCI, or equivalent accounting qualification.
• 3–5 years of relevant experience handling full sets of accounts.
• Prior experience in the shipping or maritime industry will be an advantage.
• Proficient in Microsoft Office applications; experience with Navision or Microsoft Business Central is a plus.
• Strong attention to detail with good analytical and problem-solving skills.
• Able to work independently as well as collaboratively in a fast-paced environment.
• Good communication and interpersonal skills.
