Session Administration & Reporting

• Prepare session materials including attendance sheets, discussion materials, seating plans, workshop supplies, and presentation materials.
• Attend meetings, workshops, and engagement sessions to capture discussion points, action items, and key outcomes.
• Compile meeting notes and prepare post-session summaries for stakeholders.
• Collect, consolidate, and analyze participant feedback to identify key themes, insights, and areas for improvement.
• Prepare reports and presentation materials to support decision-making and continuous improvement initiatives.

Knowledge Management & Records Maintenance

• Maintain organized and up-to-date records, trackers, reports, meeting notes, SOPs, participant databases, and project documentation.
• Ensure documents are properly stored, version-controlled, and easily retrievable.
• Support onboarding activities by maintaining accessible and updated knowledge resources.
• Identify opportunities to improve filing systems, tracking processes, and information management practices.

Communications Administration

• Monitor and manage shared email inbox, routing enquiries to relevant stakeholders and tracking follow-up actions.
• Support the dissemination of approved internal communications, announcements, electronic mailers, and intranet updates.
• Coordinate with stakeholders to obtain approved content and communication clearances.
• Provide basic formatting and administrative support using PowerPoint, Canva, and related digital tools.

Requirements:

• Diploma or GCEA Level qualification from a recognised institution
• Minimum 3to 5 years of relevant working experience in administrative support, event coordination, stakeholder coordination, procurement support or related operational roles. 
• Strong communication and stakeholder management skills.
• Good project coordination, time management, and multitasking abilities.
• Organised and detail-oriented, with experience in managing records, documentation, and trackers.
• Proficient in Microsoft Office (Excel, PowerPoint, Word), Microsoft Teams, Zoom, and other digital collaboration tools.
• Familiar with AI tools such as ChatGPT, Claude, or similar applications to support productivity and administrative work.
• Familiarity with government procurement processes and quotation management is an advantage.

About the Role

Karpenko Gymnastics Academy (KGA) is looking for a proactive and hands-on Human Resource Generalist to support our growing operations across multiple gym locations in Singapore.

This role is ideal for an HR professional who enjoys being involved in the full spectrum of Human Resource functions, including recruitment, onboarding, employee relations, payroll support, work pass administration, HR compliance and staff engagement.

You will work closely with management, operations and coaching teams to ensure smooth day-to-day HR operations while supporting the company's growth plans. Key Responsibilities

Recruitment & Talent Acquisition

• Manage end-to-end recruitment activities, including job postings, candidate screening, interview coordination and reference checks.

• Conduct interviews and support hiring managers throughout the recruitment process.

• Prepare employment contracts, offer letters and onboarding documentation.

• Coordinate employee onboarding and orientation programmes.

Work Pass & MOM Administration

• Manage Employment Pass (EP), S Pass and Work Permit applications, renewals, issuance, cancellations and related matters.

• Liaise with the Ministry of Manpower (MOM), ICA and relevant government agencies regarding employment-related matters.

• Monitor work pass expiry dates, quotas and regulatory requirements.

• Ensure compliance with MOM regulations, Employment Act requirements and company policies.

• Manage MyCareersFuture job advertisements and support Fair Consideration Framework (FCF) requirements where applicable.

HR Operations & Administration

• Maintain accurate employee records and HR documentation.

• Administer leave, attendance, timesheets and employee data.

• Support monthly payroll preparation and verification.

• Prepare HR letters, reports and employment-related documentation.

• Ensure proper filing and record retention of HR documents.

Employee Relations & Engagement

• Serve as a point of contact for employee enquiries and HR-related matters.

• Support employee engagement initiatives and staff welfare programmes.

• Assist with performance management, disciplinary matters and employee feedback.

• Promote a positive, professional and collaborative workplace culture.

Learning & Development

• Coordinate internal and external training programmes.

• Maintain training records and monitor compliance requirements.

HR Compliance & Reporting

Requirements

• Diploma or Degree in Human Resource Management, Business Administration or a related discipline.

• Minimum 2 to 3 years of relevant HR experience in Singapore.

• Good understanding of Singapore Employment Act and MOM regulations.

• Hands-on experience handling Employment Pass, S Pass and Work Permit matters.

• Experience in recruitment, onboarding and HR administration.

Job Responsibilities including but not limited to:

• Perform general bookkeeping and full set of accounting functions - handle daily operational AP/AR tasks including invoicing, payment, receipts etc

• Debts collections - Contact customer to ensure that their payments are made on time
