Job Descriptions:

• Secure private banquets and functions (eg; corporate seminar & conferences, weddings, social events, private golf tournaments, etc.)

• Coordinate and ensure the smooth running of all private event matters with clients in a timely fashion, through Golf Event Overviews, Banquet Event Orders and any other communication channels.

• Issue Weekly Event Forecasts and Banquet Event Orders in a timely fashion to allow all relevant depts/sections to plan their market list, manpower and other requirements.

• Prepare and/or delegate the printing of materials relating to the event (eg; directional signs, menu, food tags etc.)

• Attend to billing enquiries and prepare billing summaries for all private event transactions.

• Manage and control all available function room spaces.

• Work with trusted event vendors/suppliers to offer additional event services to clients (eg; décor, emcee, live band, entertainment etc.)

• To ensure that service of the highest standard is accorded to members and clients at all times.

• Attend to and resolve customers’ complaints and tabulate customers’ feedback for Management’s review.

• Issue meeting agenda and take minutes for meetings involving the dept. as and when required.

• Handle backroom administrative duties (eg; raising of purchase requisitions, sourcing of corporate gifts/party favours, filing of documents etc.)

• Contribute to the sales performance of the dept by cold calling or networking and to follow with the monthly revenue report / forecast, when required.

• Any other duties that may be assigned from time to time by the Management.

Key Responsibilities:

Executive Support

• Act as the primary point of contact between the CEO & VP and internal/external stakeholders, ensuring timely and courteous communication.

• Prepare documents, reports, presentations, and correspondence; ensure accuracy, confidentiality, and professional formatting.

• Support the CEO & VP in meeting preparation — including agenda coordination, briefings, and follow-up action tracking.

• Draft and review correspondence and business communications on behalf of the CEO & VP.

• Manage and maintain the CEO & VP’s calendar, appointments, and travel arrangements (domestic and international). Participate in work trips with the CEO & VP, if required.

Administrative & Operational Coordination

• Liaise with senior management, clients, suppliers, and partners from different countries and timezones.

• Assist in monitoring project timelines, business activities, and key management deliverables.

• Coordinate logistics for board meetings, industry events, and international business trips.

• Maintain organized filing systems (digital and physical) for corporate records, contracts, and communications.

• Oversee certain personal or household administrative matters for the CEO & VP, as required.

• Perform any other work related functions as deemed necessary and appropriate by CEO & VP.

Qualifications & Requirements:

• Diploma in Business Administration, Communications or related field.

• Minimum 2 years of experience supporting C-suite executives, preferably in trading, energy, manufacturing, or related industries.

• Excellent written and verbal communication skills in English and Mandarin. Mandarin proficiency is a requirement to manage Chinese clients. 

• Strong organizational, time-management, and multi-tasking abilities with attention to detail.

• Proficiency in Microsoft Office 365, document management, and virtual meeting tools.

• Self-motivated, trustworthy and resourceful individual who is able to handle confidential or sensitive information with discretion.
