We are looking for a responsible and hands-on Warehouse & Administrative Assistant to support daily warehouse operations and administrative activities. The role requires an organized, detail-oriented person who can coordinate paperwork, stock control, logistics arrangements, packaging activities, and communication with vendors and suppliers to ensure smooth daily operations.

Key Responsibilities  

Administrative Support  

- Handle daily administrative and documentation work assigned by management  

- Prepare, organize, and maintain filing of delivery orders, invoices, purchase records, service reports, and other operational documents  

- Update records accurately in internal systems and spreadsheets  

Warehouse Operations  

- Monitor inventory level and maintain accurate stock records  

- Receive incoming goods and verify quantity and condition against delivery documents  

- Arrange proper storage and labeling of materials, spare parts, and equipment  

- Prepare packing, labeling, and outgoing shipment arrangements  

- Support loading and unloading activities when required  

- Maintain warehouse cleanliness, orderliness, and material arrangement  

Logistics Coordination  

- Coordinate deliveries, collections, and shipment schedules  

- Liaise with courier companies, transport providers, and logistics partners  

- Track shipment status and follow up on delivery schedules  

General Support  

- Assist internal departments with material preparation and administrative support  

- Perform ad hoc duties assigned by management  

Requirements  

- Minimum secondary education, diploma, or relevant working experience  

- Good communication and coordination skills

- Able to multitask between warehouse and office work

Job Description

• Preparation of monthly claims and invoices
• Provide general administrative and office support (data entry, filing, record keeping)
• Act as office support / coordination point for daily operations
• Handle incoming calls and correspondence
• Collect and manage mails and documents (including bank errands when required)
• Consolidate service reports/checklists and maintain proper documentation
• Ensure accurate and organised record keeping of all documents
• Liaise and coordinate between internal departments, especially Sales and Operations
• Assist Sales team with follow-ups on outstanding orders and shipment plans
• Provide administrative and secretarial support to Managing Director
• Perform any other ad-hoc duties as assigned

Job Requirements

• Singapore Citizen or Permanent Resident (PR)
• Minimum “O” Level or equivalent
• At least 3 years of relevant administrative experience

• Good telephone etiquette, communication and coordination skills
• Strong organisational skills with ability to handle routine work efficiently
• Able to work in a fast-paced environment and manage multiple tasks
• Good interpersonal skills and able to work with different stakeholders
