• Prepare and pack surgical instruments and medical items for hospital procedures
• Coordinate and perform deliveries and collections to hospitals and customers

Requirements

Il s’inscrit au cœur du pilotage de l’établissement et implique une collaboration étroite avec l’équipe de direction, les services administratifs, les équipes pédagogiques ainsi que les partenaires institutionnels.Les missions requièrent notamment une capacité à gérer des priorités multiples dans un environnement exigeant.

MISSION

Le/L’ assistant(e) du Proviseur assure un rôle central de coordination administrative et institutionnelle.  Il/Elle contribue à la fluidité du fonctionnement de la direction en garantissant une gestion rigoureuse des dossiers, une communication efficace avec les partenaires internes et externes, ainsi qu’un appui organisationnel aux instances de gouvernance de l’établissement

RESPONSABILITÉS

1. Appui au Proviseur et secrétariat 

• Gestion de l’agenda du Proviseur

• Assistance administrative directe au Proviseur.

• Coordination et suivi de dossiers stratégiques.

• Interface entre l’établissement, l’Agence pour l’enseignement français à l’étranger et le poste diplomatique (Ambassade de France).

• Réponse aux enquêtes de l’Ambassade.

• Traduction ou relecture en anglais des communications institutionnelles.

2. Interface avec l’AEFE et gestion des personnels détachés (en étroite collaboration avec les services RH de l’établissement)

• Accueil et suivi des personnels détachés avec missions d’encadrement et de formation

• Suivi de la carrière des personnels détachés.

• Tenue et mise à jour des dossiers administratifs.

• Inscription des nouveaux personnels sur les plateformes dédiées de l’AEFE.

• Gestion des détachements (première demande, renouvellement, suivi, déclarations).

• Suivi des absences, accidents du travail et obligations déclaratives.

• Organisation et transmission des rapports d’entretiens professionnels annuels.

• Remontée des heures supplémentaires et mise à jour des données RH pour le Plan Régional AEFE de Formation

• Gestion des postes de détachés (création, gel, suppression).

• Lancement des appels à candidature et suivi des recrutements (outil MAGE).

• Réponse aux enquêtes de l’AEFE (enquêtes rapide et lourde  de rentrée, d'orientation, élèves à besoins éducatifs particuliers, enquête des loyers). 

  Centralisation du travail concernant le dispositif quinquennal de renouvellement de l’homologation avec le Ministère français de l’Education nationale  notamment dans le cadre du renouvellement de l’homologation.

• Contacts réguliers et permanents avec les services de l’AEFE.

• Assister les RH à la préparation des déclarations fiscales (IRAS, certificat de décharge fiscale) 

3. Organisation des instances statutaires et de gouvernance

• Organisation et secrétariat du Conseil d’établissement ( réunions jusqu’à 6 par an). Organisation du vote électronique du conseil d’établissement, si nécessaire.

• Organisation des élections des représentants (personnels, parents) au Conseil d’établissement.

• Organisation et secrétariat de la Commission Consultative Paritaire Locale (CCPL, commission de recrutement des personnels détachés)

• Organisation des élections des représentants aux instances de l’AEFE.

• Organisation et suivi des instances suivantes :

• Comité d’éducation à la santé, à la citoyenneté et à l’environnement (CESCE)

• Cellule de formation continue

• Commission Hygiène, sécurité de la communauté scolaire et conditions de travail des personnels 

• Commission éducative

• Conseil de discipline

4. Coordination interne et vie de l’établissement

• Organisation des réunions du groupe humanitaire et du comité des fêtes.

• Contribution aux initiatives favorisant la cohésion des équipes et la reconnaissance des personnels.

• Participation à l’organisation d’événements internes.
  

COMPÉTENCES, EXPÉRIENCE ET QUALITÉS REQUISES

• Formation supérieure (Bac+2/3 minimum) en secrétariat de direction, gestion ou équivalent.

• Expérience confirmée en secrétariat  de direction, idéalement en environnement éducatif ou institutionnel. Une certaine connaissance du système éducatif français est souhaitable.

• Excellente maîtrise des outils bureautiques 

  La connaissance d’outils de gestion scolaire (EDT, Pronote) constitue un atout.

• Très bonnes capacités organisationnelles et de gestion des priorités.

• Excellentes compétences relationnelles et sens du travail en équipe.

• Expérience dans la gestion de la relation avec des personnels éducatifs, des parents et des représentants d’autorités.

MISSION

The Executive Assistant to the Principal plays a central role in administrative and institutional coordination. The position contributes to the smooth functioning of the leadership team by ensuring rigorous management of files, effective communication with internal and external stakeholders, and organisational support to the school’s governance bodies.

RESPONSIBILITIES

1. Executive Support to the Head of School

• Manage the principal’s schedule

• Provide direct administrative support

• Coordinate and follow up on strategic dossiers

• Act as an interface between the school, the AEFE (Agency for French Education Abroad), and the French Embassy

• Respond to Embassy surveys and requests

• Translate or proofread institutional communications in English

2. AEFE Liaison & Management of Seconded Staff (in close collaboration with HR)

• Support onboarding and follow-up of seconded staff with leadership and training responsibilities

• Monitor career progression of seconded staff

• Maintain and update administrative records

• Register new staff on AEFE platforms

• Manage secondment processes (initial applications, renewals, monitoring, declarations)

• Track absences, workplace accidents, and reporting obligations

• Organise and submit annual professional appraisal reports

• Consolidate overtime reporting and update HR data for the AEFE Regional Training Plan

• Manage seconded positions (creation, suspension, closure)

• Launch recruitment campaigns and follow up on applications (via MAGE or equivalent tools)

• Respond to AEFE surveys (start-of-year surveys, orientation, special educational needs, housing, etc.)

• Centralise documentation related to the five-year accreditation renewal process with the French Ministry of Education

• Maintain regular communication with AEFE services

• Support HR with the preparation of tax declarations (IRAS, tax clearance) 

3. Governance & Statutory Bodies

• Organise and provide secretariat support for the School Council (up to 6 meetings per year), including electronic voting where required

• Organise elections of staff and parent representatives

• Organise and support the Local Joint Consultative Commission (CCPL – recruitment of seconded staff)

• Coordinate elections for AEFE governance bodies

• Organise and follow up on the following committees:

• Health, Citizenship and Environment Committee (CESCE)

• Continuous Training Committee

• Health & Safety and Working Conditions Committee

• Educational Committee

• Disciplinary Council

4. Internal Coordination & School Life

• Organise meetings for internal groups (e.g. humanitarian group, events committee)

• Contribute to initiatives promoting team cohesion and staff recognition

QUALIFICATIONS, EXPERIENCE & SKILLS

• Diploma (minimum Bac+2/3) in executive assistance, administration, management, or equivalent

• Proven experience in executive support, preferably in an educational or institutional environment

• Knowledge of the French education system is an advantage

• Strong proficiency in office tools

• Familiarity with school management systems (e.g. EDT, Pronote) is a plus

Job Summary:
We are seeking a motivated and detail-oriented Assistant Electrical Engineer to support the planning, coordination, and execution of on-site electrical works. The ideal candidate will work closely with the Electrical Engineer and project team to ensure projects are completed on time, within budget, and in compliance with quality and safety standards.

REQUIREMENTS

1. Support the Electrical Engineer in overseeing and supervising on-site electrical works, ensuring compliance with project specifications, safety standards, and regulations
2. Coordinate with main contractors, subcontractors, and suppliers to ensure smooth and efficient project execution
3. Participate in site meetings and technical discussions to address issues and maintain alignment with project objectives
4. Monitor daily electrical activities to ensure work is completed according to schedule and meets quality standards
5. Assist in the procurement of electrical materials, including coordinating with suppliers and verifying order accuracy
6. Inspect incoming materials to ensure they meet required specifications and are delivered on time
7. Prepare and submit accurate daily and weekly progress reports on site activities and project status
8. Communicate project updates, issues, and potential risks promptly to the Project Manager
9. Track project progress against timelines and proactively identify and help resolve delays

Qualifications

1. Bachelor’s degree in Electrical Engineering ora related field
2. Licensed Electrical Engineer (preferred but not required, depending on local regulations)
3. Minimum NITEC in Electrical Technology (Power & Control) or equivalent
4. Proficient in MS Office (Word/Excel/PowerPoint).
5. Able to commit to OT as and when required on weekdays & weekends.
6. Minimum 2–3 years of experience
