• Executes the processing of payroll and works closely with the Payroll Outsourcer to ensure the seamless management and credit of salaries every month.
• Ensures accurate and timely submission of CPF contributions and submits yearly IR21 tax returns and tax clearance.
• Handles Team Member movements such as promotions such as but not limited to employee transfers and confirmation.
• Ensures compliance with the Singapore labor law and up to date with the latest MOM regulations.
• Supports the Manager, People & Organization in implementing the Team Member Discipline and Administrative process.
• Manages vendor files and processes payment of P&O suppliers.
• Attends to HR-related matters and regularly communicates with Team Members.

RESPONSIBILITIES

Operational Duties and Office Admin

• Answering phone calls and attend to walk-in
• Managing general email, mailbox, registered mails, room booking and replenish forms
• Ensure cleanliness and tidiness of whole centre
• Ensure working conditions for equipment
• Stock Replenishment (stationaries, toiletries, pantry items, cleaning supplies, first aid box, toner etc)
• Meeting and event logistics preparation
• Onboarding and offboarding of staff
• Managing door access, CCTV and phone system

Training

• Updating, collating of forms and reports for Centre Head

Programmes

• Quotation and budget request for all programmes

Procurement (Office Purchases)

• Get quotation and put up for budget request
• Upon PR approval, to submit order
• Preparing and Comparing of Budget vs Actual expenses

Donation-in-Kind (DIK)

• Checking and recording of all donated items received on the receipt book and inventory management
• Submission to Accounts for checking and verification

Others

• Any other duties as assigned by Management
• Assisting Secretariat for FS Heads meeting
• KST2 attendance for workshops
• FS Culture expenses
• Submission of monthly claims by Staff and Locum
• Admin matters related to Locums

• Minimum Diploma Holder

• Proficient in MS Office
• Relevant experience in Office Admin
• Good in multi-tasking and documentation
• Able to handle confidential information with discretion
• Takes accountability and possess good mindset, attitude, and interpersonal skills
• Able to work independently and is also a team player
