Job Summary

Support quality management by monitoring ISO 9001 and ISO 14001 systems, conducting product inspections, managing documentation, and contributing to problem-solving and continuous improvement initiatives.

Responsibilities

• Monitor and maintain quality management systems aligned with ISO 9001 and ISO 14001 standards to ensure compliance and effectiveness
• Track, control, and organize both digital and physical documents to maintain accessibility and adherence to business standards
• Conduct product inspections and tests to verify compliance with quality standards and specifications
• Update and maintain engineering databases and documentation to provide accurate and comprehensive records for analysis
• Participate in problem-solving and continuous improvement activities using methods such as 8D, 5-Why, and FMEA to enhance quality processes
• Assist in investigating and resolving customer complaints to improve customer satisfaction

Preferred competencies and qualifications

Job Description

We are looking for an enthusiastic and meticulous individual to support CNCS in continuing education and research administration.

Responsibilities

Research Administration Support

• Track and report budgets, commitments, expenditures and payments accurately
• Assist in submitting project claims and progress reports to grantor
• Support procurement activities by sourcing, purchasing and payments, in compliance with university policies and procedures
• Checking of Concur claims to ensure they are fundable items 
• Perform other duties as assigned

Executive Education

• Prepare the paperwork for Contract for Services, Other Paid Work in NUS (OPWN), NUS Student Work Scheme
• Track registration on NUS Lifelong Learning Application Portal (L3AP) and send reminders to participants to complete their registration
• Vendor record creation, withholding tax processing for overseas speakers
• Source for quotations on airfares and hotel rates for course budget preparation
• Booking of air tickets and hotel accommodation for overseas speakers
• Submit Request for Payment forms and OPWN payment forms for speakers
• Create Purchase Orders for catering, hotel booking and purchases 
• Submit Invoice Request forms to seek payment
• Submit non-Purchase Order invoices for payment processing
• Track expenditure and payments for all courses, prepare profit and loss report
• Transfer payments to course collaborators
• Oversee the classroom and catering logistics during courses, liaise with caterers on set up, booking of course venue and payments for venues
• Liaise with Office of Legal Affairs (OLA) on contracts

Qualifications

Bachelor’s degree in any discipline

Experience

• Familiarity with the NUS Concur, Ariba Smartbuy, ASK and L3AP system is a plus
