Responsibilities

• Develop and implement core operating procedures for HR, accounts, inventory management, product check-in/check-out, and export management
• Prepare daily sales orders and coordinate timely, accurate dispatch of frozen meat products for driver pickup
• Collaborate with production teams to monitor stock levels and adjust daily inventory to meet operational demands
• Supervise company operations 5-6 days per week, ensuring smooth workflow and adapting to operational needs
• Lead and support growth of the logistics and export company through effective administration management and process improvements

Required competencies and certifications

• Minimum 3 years of administration experience, preferably in Manufacturing or Food and Beverage sectors
• Proficient in basic administration tools including Microsoft Word, Microsoft Excel, and Email
• Valid Singaporean PR, Singaporean Citizen status, or valid Work-pass to comply with employment regulations

Preferred competencies and qualifications

• Completed secondary school equivalent education
• Competent in understanding basic related Government organisations including SFA and SCDF
• Experience with HR and Accounts processes for Singapore Government systems such as Singpass and Corepass

The School of Chemistry, Chemical Engineering and Biotechnology (CCEB) is a newly established interdisciplinary joint school under College of Engineering and College of Science at NTU Singapore. The Zhong group works at the interface of organometallic and organic chemistry to develop new generations of transition metal catalysts and reagents for novel organic transformations.

The Zhong group is pursuing development of new generations of transition metal catalysts for asymmetric catalysis and C-H functionalization. The candidate should have a BS/MS degree in chemistry with prior experience in synthetic organic chemistry and/or transition metal catalysis in advanced institutions. The candidate should possess analytical skills including NMR, GC/HPLC, mass spec, etc, as well as experience in handling air-sensitive compounds with Schlenk techniques or glovebox.
 

Key Responsibilities: 

• Assist in routine lab research and data analysis in organic chemistry and organometallic chemistry.

• Assist in instrument maintenance, and acquisition of chemicals, lab supplies and consumables.

• Present research progress in group meetings and private meetings.

Job Description:

- Assist in handle Accounts Payable (AP) function

- Verify and ensure supporting documents (PO/DO) are in order and match suppliers’ invoices

- Complete all suppliers’ invoices accurately and on timely manner (approximate 6000 invoices a month)

- Upload data into accounting system

- Assist in monthly AP payment process and follow up on discrepancies with suppliers / internal department

- Assist in supplier’s statement reconciliation

- Verify monthly staff expenses claims

Core Purpose of The Role:

To provide high-level administrative and operational support to the Senior Sales Executives, enabling efficient client engagement, effective deal execution, strong reporting discipline, and smooth day-to-day business operations. Your work enables the team to focus on revenue generation by streamlining processes and optimizing client interactions.

KEY RESPONSIBILITIES: 

1. Calendar & Meeting Management for Senior Sales Executives 

• Manage calendars across time zones Senior Vice Presidents and Vice-President of the TV Distribution team to ensure strategic sales meetings and high-value client touchpoints take precedence.   
• Schedule internal, client and partner meetings, including video calls and in-person meetings.  
• Ensure agendas, dial-in details, meeting rooms and materials are prepared in advance.  
• Anticipate conflicts and optimize scheduling priorities.

2. Travel, Logistics & Expense Management 

• Arrange all business travel including flights, hotels, ground transport and visas where required for client meetings, regional business trips, markets and conferences. 
• Ensure flawless execution of client-facing activities, manage last-minute changes when needed.   
• Prepare and submit T&E claims accurately and on time; ensure policy compliance and resolve discrepancies. 

3. Sales Support 

• Act as liaison for client communications, scheduling calls and meetings with key partners. 
• Develop meeting schedules for major industry events with a focus on maximizing networking opportunities and client engagement.   
• Organize client engagement and networking sessions to strengthen revenue-driving relationships, while maintaining and updating client lists, invitations, and RSVP tracking for screenings, premieres, and industry events. 

4. Sales Reporting & Operations 

• Reporting & Data Management: Collate and validate data for weekly, monthly, and quarterly sales reports; coordinate inputs across territories; ensure accuracy, consistency, and timely submission; maintain organized records and version control. 
• Client & CRM Management: Maintain accurate client contact details and trackers that evolve into CRM insights, enabling personalized outreach and strategic engagement. 
• Process & Documentation: Organize and maintain shared drives, trackers, and documentation for client engagement, event planning, and sales processes.  
• Workflow Coordination: Track key deadlines, submissions, and follow-ups; facilitate smooth communication between Sales, Legal, Finance, Marketing, and other NBCU teams to ensure operational efficiency. 

5. General Administration 

• Handle courier arrangements, document formatting, and ad-hoc administrative tasks.
