Job Summary

• The Trade Documentation Executive is responsible for managing all export and import-related paperwork to ensure seamless international trade operations. This role involves preparing shipping documents, managing Letters of Credit (LCs), and ensuring strict compliance with international trade laws and Incoterms to prevent shipment delays and financial discrepancies.

Key Responsibilities

1. Documentation &Record Keeping

• Prepare and review essential trade documents: Commercial Invoices, Packing Lists, Bills of Lading (B/L), and Certificates of Origin (COO).
• Manage specialized certificates such as Phytosanitary, Quality/Quantity (SGS), and Insurance certificates.
• Maintain accurate electronic and physical archives of all trade contracts and supporting documents for audit purposes.

2. Trade Finance &LC Management

• Handle end-to-end Letter of Credit (LC) processes, including reviewing LC terms, drafting applications, and requesting amendments.
• Ensure all documents presented to banks for negotiation/discounting are strictly compliant with LC terms to avoid bank discrepancies.
• Monitor payment statuses and coordinate with the finance team for trade settlements.

3. Logistics &Stakeholder Coordination

• Liaise with shipping lines, freight forwarders, and customs brokers to schedule shipments and track cargo status.
• Communicate daily with buyers, suppliers, and surveyors to ensure documentation requirements are met and issues are resolved quickly.
• Coordinate with internal departments (Sales, Operations, and Finance) to align documentation with physical trade flows.

4. Compliance &Regulatory Oversight

• Ensure adherence to international trade regulations, Sanctions/AML screenings, and Incoterms 2020.
• Verify HS Codes and duty implications for various commodities.

Required Qualifications & Skills

Education

• Diploma in Business, International Trade, Logistics, or Supply Chain Management.

Experience

• 2–5 years in trade documentation or export/import operations, experience in commodities like CPO is  preferred.

Technical Knowledge

• Deep understanding of UCP 600, Incoterms, and LC negotiation.

Software

• Proficiency in MS Office (Excel/Word) and ERP systems (e.g., SAP, Oracle, Odoo).

Soft Skills

• Provide sales and administrative support by effectively handling Sales and Business Development related documentation with accuracy in a timely manner
• Prepare sales reports, proposals, agreements and presentations as required by Sales and Business Development team
• Maintain and conduct prompt update of clients and agents’ database utilizing Envision, CRM system & Opera
• Assist with distribution of sales and events proposal, contracts and agreements
• Raise purchase orders on Birchstreet as required for Sales collateral & corporate merchandise & corporate merchandise

Customer Service

• Close communications with clients to maintain a high level of hotel’s exposure
• Answer incoming phone calls in a pleasant manner using Hotel’s telephone etiquette guidelines. Handle telephone enquiries according to departmental procedure
• Update relevant departments on group arrival logistics in weekly pre-con briefings and that relevant guest profiles are shared to ensure maximizing GEM (Guest Engagement Management)
• Plan & Host “WOW” site inspections & FAM trips to deliver the brand promise always providing exceptional customer service

Financial

• Proactively seek in-depth knowledge of accounts to understand its total revenue impact on the hotel for better negotiation opportunities
• Support account development planning function to maximum revenue short & long term
• Support the preparation of weekly yield meeting content and contribute towards GRC (Groups on Books) to develop and adjust sales strategies, short term pricing and channel tactics

Operational & Other Duties

• Manage and plan all group/event logistics in liaison with the reservations and front office team
• Develop and maintain positive and productive working relationships with other colleagues and departments
• Identify and communicate ideas, customer expectations from assigned segments and territory
• To be aware of community, business, political and social factors that may affect the hotel’s financial performance

Key Responsibilities

• Manage customer accounts and plan delivery schedules.
• Respond to customer inquiries promptly.
• Monitor daily shipment schedules for customers.
• Follow up on production and shipment statuses.
• Coordinate with departments like Purchasing, Production, Quality Assurance, and Logistics for delivery plans.
• Collaborate with the Purchasing Department on customer forecast demand.
• Handle ECO/ECN processes and facilitate changes.
• Address RMA queries and manage costing.
• Prepare cost estimates and RFQs for customers.

Responsibilities

• Answering telephone calls from clients.
• Replying to email enquiries with standard template.
• Coordinate sales manager schedules for meeting with clients.
• Utilize company resources to develop a filling system that keeps all active sales files available digitally and in hard copy form.
• Coordinating with sales manager in filling important documents and communicating relevant information.
• Data entry in cater master.
• Send EDM and proposal.
• Sending thank you letter/after sales support.
• Send BEO distribution to relevant department.
• Send introduction email accordingly to properties with standard template provided.
• Send emails to clients with regards to the appointed Vendors information and details.
• Sit down with Sales Managers as and when needed with their clients.
• Act as the primary customer service contact for clients who have questions about their accounts or our services.
• Checking prices and contracts are up to date.
• Prepare weekly forecast and sales report.
• To key in new leads in Cater Master system under ‘Enquiry’
• Check with Sales Manager on packages to create ‘Proposal’
• Create the skeleton of ‘Contract’ as and when required
• Email blast to new list, and past customers to touch base
• Update property ‘Event Revenue Forecast'
• Take down minute for any meeting attended
• Submit daily report end of each working day
• Meet with guests and clients

Requirements

• Proven work experience as a Sales administrator or Sales support or Telemarketing
• Excellent organizational and multitasking skills
• A team player with high level of dedication
• Ability to work under strict deadlines
