RESPONSIBILITIES

The role of Operations Executive (OE) is to assist the Operations Manager (OM) in the strategic management of Fernvale Gardens School's environment (estate, facilities, resources, processes), school safety and security, risk management, health matters and emergency preparedness processes. PURPOSE

We are seeking a highly organized and detail-oriented Distribution Support Executive to join the Life Business team on a contract basis. The role supports day-to-day distribution operations, including agent maintenance, commission and incentive processing, system testing, and new firm onboarding activities. The incumbent will work closely with internal stakeholders such as Sales, Compliance, Finance and Operations, as well as external distribution partners, to ensure smooth execution of processes and adherence to regulatory and internal requirements. 

JOB SCOPR AND RESPONSIBILITIES

Core Responsibilities: 

• Oversee agent maintenance activities, including creation, termination, suspension, promotion and updates of agent codes. 

• Manage proxy requests and ensure timely and accurate updates to agent records in relevant systems. 

• Generate and distribute commission, incentive and operational reports. 

• Process commission and incentive payments accurately and within stipulated timelines. 

• Handle day-to-day distribution-related email enquiries and support email whitelisting applications. 

Secondary / Exposure Responsibilities: 

• Support system testing activities for new product launches, new firm onboarding and system maintenance initiatives. 

• Assist in onboarding of new distribution firms, including coordination of distribution agreements and product due diligence documentation. 

• Facilitate launch readiness for new products and riders in collaboration with internal stakeholders. 

• Provide operational support for time-sensitive initiatives, clean-up exercises or reviews as directed by the manager. 

QUALIFICATIONS / EXPERIENCE

• Minimum Diploma in any discipline

• 1 to 2 years of relevant experience in insurance operations, distribution support or administrative roles. 

KNOWLEDGE, SKILLS & ABILITY

• Good understanding of life insurance operations across IFA, Bancassurance and Broker channels. 

• Strong administrative skills with a high level of accuracy and attention to detail. 

• Ability to manage multiple tasks and priorities effectively in a fast-paced environment. 

• Good interpersonal and communication skills with the ability to work across teams. 

• Proficiency in relevant systems and tools (e.g. AS400 for agent and commission processing, Jira for task tracking and system testing coordination). 

• Self-motivated, proactive and able to work independently with minimal supervision. 

• Manage E-leave & E-attendance via Info-Tech System, including leave type entry, entitlement, application, certificate collection & approval and daily employee’s attendance
• Ability to do General Ledger will be preffered
• Ensure timely & accurate submissions in all government and related claims, e.g. Childcare Leave, Maternity/Paternity Leave, income tax (IR8A & IR21) matters etc.
• Responsible for work pass administration such as work pass applications, renewal, cancellation and issuance
• Coordinate with all departments on hiring plans, resignations, confirmation and all HR related matters
• Provide advice and handle all employee inquiries on HR-related matters
• Perform daily HR duties from on-boarding to off-boarding
• Responsible for monthly payroll and salary processing
• Maintenance of proper filing system & employee records
• Undertake any ad-hoc projects assigned by the superior/management team

Requirements:

• Possess a Diploma in Human Resources, Administrative / Business Studies or any other related field
• At least 1 year of working experience in HR & Payroll Administration. Familiar with Info-Tech System will be a bonus.
• Familiar with MOM regulations and HR practices
• Good communication, writing and interpersonal skills
• Proficient in Microsoft Office Applications
• Meticulous with a high level of integrity
• A team player with a flair for numbers
• Able to multi-task, responsible & willing to learn

Location: Redhill

Responsibilities:

• Handle full set of accounts and ensure accurate bookkeeping records

• Prepare timely financial statements and management reports

• Manage cash flow planning and oversee banking facilities, including loan arrangements, trust receipt submissions, and repayments

• Oversee Accounts Payable (AP) and Accounts Receivable (AR), including account setup, aging reports, statements of account, payments, and collections

• Manage inventory accounting, including stock take, reconciliation, and adjustment processes

• Liaise with banks and financial institutions for daily banking matters

• Prepare and submit quarterly GST returns in a timely manner

• Coordinate with auditors and tax agents for year-end audit and tax closing processes

• Communicate with overseas stakeholders on finance-related matters

• Prepare monthly sales reports for commission calculations

• Support general administrative tasks and perform ad-hoc duties as assigned

Requirements:

• Possess a relevant certificate in Accounting or an equivalent qualification

• Minimum 2 years of experience in a similar role

• Able to do inventory management related, trade financing and able to handle external audit enquiries

• Able to multitask and work under tight deadlines

• Detail-oriented, proactive, resourceful, and self-motivated with a positive attitude

• Proficient in MS Office applications, especially Microsoft Excel

• Strong communication and interpersonal skills

• Able to work independently as well as collaboratively in a team environment
