ABOUT THE ROLE
Our client, a transnational industrialist, is establishing a primary residence and expanding a corporate footprint in Singapore. They are seeking an exceptional Executive Assistant / Chief of Staff who operates strictly on the Completed Staff Work doctrine — someone who anticipates, decides, executes, and closes, requiring minimal direction and zero hand-holding.
This is a rare, high-trust appointment. The successful candidate will function as the Principal's operational proxy, responsible for pre-staging every aspect of his physical, logistical, and corporate presence in Singapore ahead of his arrival. The role subsequently evolves into a hybrid EA/office management position with investor relations responsibilities.
PHASE 1 — LIFESTYLE & LOGISTICS SETUP (Pre-Arrival)
Working remotely and autonomously across Singapore, the EA will be responsible for:
Property Activation
- Manage handover, punch-list resolution, and staged furnishing of a luxury residential property in Sentosa
- Coordinate and oversee all third-party vendors including interior stylists, AV/smart home specialists, and move management firms
- Ensure property is fully commissioned and liveable prior to the Principal's arrival
Asset Procurement
- Finalise corporate lease for a chauffeur-driven ultra-luxury MPV (e.g. Mercedes V-Class or equivalent)
- Identify, vet, and onboard an executive-tier private driver with demonstrable UHNW principal experience
Household Staffing
- Source, interview, reference-check, and onboard a highly capable live-in domestic manager / cook
- Navigate all MOM work permit and FDW processes end-to-end
- Manage all documentation and logistics for the acquisition and importation of the family's pet dog, including AVA import permits, veterinary clearances, and quarantine requirements
Administrative & Banking Setup
- Establish all local utilities, broadband, home security monitoring, and insurance accounts
- Coordinate with private banking contacts for account activation and onboarding preparation
- Maintain meticulous records and a real-time status tracker across all open workstreams
PHASE 2 — BUSINESS PROPULSION (Post-Arrival)
Executive Proxy
- Serve as primary gatekeeper for the Principal's Singapore operations — screening, triaging, and routing all inbound stakeholders
- Manage complex, multi-timezone calendar, travel, and itinerary logistics at the highest standard of discretion
- Prepare high-quality briefing materials, correspondence, and communications on behalf of the Principal
Investor & Corporate Relations Support
- Coordinate and stage high-stakes meetings with investors, private bankers, family office principals, and corporate partners
- Prepare pre-meeting research packs and post-meeting action tracking
Office Architecture
- Build and maintain administrative systems, vendor registers, SOP documentation, and filing architecture for the Singapore corporate office
THE REQUIRED PROFILE
- Minimum 5 years' experience in a sole-charge EA, Chief of Staff, or Family Office Manager role supporting a UHNW individual or single-family office in Singapore
- Absolute fluency in navigating Singapore's luxury real estate, leasing, and property management ecosystem
- Demonstrable track record of independently onboarding and managing household staff, including FDW permit processes
- Strong familiarity with Singapore's private banking, MOM regulatory, and corporate administration landscape
- Unimpeachable discretion, emotional intelligence, and professional composure under pressure
- Fiercely proactive and solutions-oriented — presents resolutions, not problems
