Role Overview

The Administrative Executive (Childcare Centre) supports the smooth day-to-day operations of the centre by overseeing administrative, enrolment, and customer service functions. This role ensures accurate record-keeping, regulatory compliance, and effective coordination with parents, staff, and external stakeholders.

Key Responsibilities

1. Centre Administration & Operations

• Manage daily administrative functions to ensure smooth centre operations

• Maintain proper filing systems (digital and physical) for children and staff records

• Handle procurement of centre supplies and inventory tracking

• Support centre logistics, scheduling, and coordination of activities

1. Centre Administration & Operations

• Manage end-to-end enrolment processes (enquiries, registration, withdrawals)

• Serve as the first point of contact for parents and visitors

• Provide timely and professional responses to enquiries via phone, email, and walk-ins

1. Compliance & Regulatory Matters

• Ensure proper documentation in line with ECDA requirements and centre policies

1. Finance & Billing Support

• Assist with fee collection, invoicing, and subsidy tracking

• Reconcile payments and maintain proper financial records

• Liaise with HQ finance team on billing and reporting matters

1. HR & Support Staff

• Maintain staff records (leave, attendance, certifications, training)

• Support onboarding and documentation for new hires

• Coordinate staff schedules and administrative needs

1. Reporting & Systems Management

• Update centre data in relevant systems (e.g. ECDA portals, internal HRMS)

• Prepare monthly reports (enrolment, attendance, finance, etc.)

• Ensure data accuracy and timely submission to HQ / authorities 

Requirements

• Diploma in Business Administration, Early Childhood, or related field

• 1–3 years of administrative experience (childcare/preschool setting preferred)

• Familiarity with ECDA requirements and subsidy processes is an advantage

• Proficient in Microsoft Office and administrative systems

• Strong organisational and multitasking skills

• Good interpersonal and communication skills
  

Working Hours

Official working hours are aligned with centre operations. Flexibility may be required based on operational needs.

The Role
We are looking for an enthusiastic, proactive, and detail-oriented Bookkeeping and Administration Executive to provide comprehensive operational and financial support to our Landscape and Architectural team.

Key Responsibilities

1. Financial Management & Accounts Receivable: Lead all bookkeeping functions (Xero) including payroll, invoicing, and expense tracking. A primary focus is Accounts Receivable management—building and maintaining professional relationships with global clients to ensure timely payments and resolve billing queries.
2. HR & Compliance: Manage HR administration, including recruitment coordination, employment contracts, and leave management. Maintain accurate employee records and handle statutory requirements.
3. Project Support: Assist the team in writing project fee proposals and managing contract variations. Ensure project billing schedules are tracked accurately against budgets.
4. Operations & Executive Support: Manage office logistics, procurement, and maintenance schedules (AC, cleaning, equipment). Handle document organization, travel planning, and filing for the senior team.
5. Marketing Coordination: Assist in maintaining the firm’s digital presence by updating the company portfolio, website, and social media pages.

Requirements

• Good bookkeeping knowledge and experience (proficiency in Xero is highly preferred).
• Experience in managing Singapore work pass applications (WP, SP, EP) and navigating relevant HR portals and government platforms.
• Good Microsoft Office skills (specifically Excel, Word, and Outlook).
• Strong verbal and written English skills, with the ability to build rapport with international clients.
• Highly organized with a positive attitude; able to work independently and manage multiple deadlines in a fast-paced environment.
• Understanding of social media platforms for marketing purposes is a plus.

Job Description

a) Programme and Project Management
• Support the Principal Investigator in the strategic and operational management of a large portfolio of modelling and public health research projects.
• Develop and maintain detailed project plans, timelines, risk registers, and milestone tracking systems across multiple concurrent studies.
• Monitor project progress to ensure deliverables, reporting requirements, and key performance indicators are met.
• Coordinate across modelling teams, data analysts, collaborators, and institutional stakeholders to maintain alignment and momentum.
• Identify operational risks or bottlenecks and proactively implement mitigation strategies.
b) Grant and Financial Management
• Support pre award and post award grant management activities in coordination with institutional research administration units.
• Track project budgets, expenditures, and burn rates across grants to ensure financial compliance and sustainability.
• Prepare financial and progress summaries for the Principal Investigator and funding agencies.
• Assist in the preparation of grant reports, renewals, and new funding applications where required.
c) Stakeholder and Collaboration Management
• Serve as a central coordination point between the Principal Investigator, research team members, institutional offices, and external collaborators.
• Facilitate communication across multi institution and international partners to support complex collaborative projects.
• Organise and manage project meetings, steering committees, and technical working groups, ensuring clear documentation and follow up of action items.
• Support the development and maintenance of collaboration frameworks and data sharing workflows where needed.
d) Research Operations and Delivery Support
• Support the timely production of key research outputs including reports, manuscripts, policy briefs, and technical deliverables by coordinating inputs across team members.
• Maintain organised project documentation, version control, and reporting records aligned with funder and institutional requirements.
• Contribute to continuous improvement of project management systems, particularly for large scale modelling and data intensive programmes.
e) Strategic Growth and Portfolio Development
• Support the Principal Investigator in scaling and coordinating large national and international research initiatives.
• Contribute to the development of new project management structures suitable for complex, multi partner programmes.
• Identify opportunities to strengthen programme efficiency, integration, and external impact.

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution. Having a scientific background (undergraduate degree in a science discipline) is a plus.
• Preferrably with at least 2 years of experience in an administrative position within academic, research or healthcare sector.
• Candidates with experience in research administration, grant management, agreement review, research ethics, research compliance or database management will be at an advantage.
• A team player with effective problem-solving skills and excellent communication skills to perform well in a fast-paced environment.
• Able to take initiative to learn on the job and manage various responsibilities.
This role is well suited for candidates seeking to build deep expertise in managing large, technically complex research programmes with strong potential progression into senior national and international project management leadership roles.

Monday to Friday - 830am to 530pm

Company car will be provided for this role.

Responsibilities:

• Go on-site to repair machines like scissors lifts, forklifts, and air compressors when they stopped working.
• Do regular oil changes and checks to make sure equipment is in good, working condition.
• Troubleshoot with electrical parts, engine, or the hydraulic systems and to rectify issues.
• Inspect all machines and ensure they are safe before machines are sent to the customers.
• Simple report writing to include what has been fixed and parts used.

Requirements:

• Nitec / Higher Nitec in Mechanical Engineering or related fields.
• Positive working attitude, willing to learn.
• Senior post available for experienced candidate, salary range depends on relevant working experience.
• Experience in operating heavy industrial machines would be advantageous.
