Job Responsibilities

• Act as the main liaison to ensure smooth communication and document flow between the client and the internal project team
• Oversee the management of all drawings, including updating, storing, and distributing to the relevant parties
• Manage and submit Project Control Management (PCM) documents and ensure all required paperwork is filed and tracked
• Process and track payment requests to ensure timely payments for the project
• Manage and maintain SharePoint or other document management systems, ensuring all project documents are properly stored and accessible
• Maintain proper access permissions for team members to ensure security and smooth operation of internal servers
• Manage the versioning, approval, and distribution of all technical drawings
• Track and respond to RFIs, ensuring timely and accurate responses to client or vendor questions
• Coordinate and ensure all documentation for NEOT processes is properly handled
• Manage the internal circulation of documents for review and approval within the team
• Any other ad-hoc duties as assigned

Requirement:

• Minimum Diploma level or equivalent
• Minimum 3 years’ relevant experience in related industry
• Experience with Autodesk ACC will be an added advantage
• Personality with positive, proactive, detail-oriented, and responsible
• Proficient in Microsoft Office (Words, Excel, Power Point)
• Good communication, reading, and writing skills in both English and Chinese to liaise with Chinese associates

The Document Controller is responsible for managing, organizing, and maintaining all project documents and records for construction projects. The role ensures that drawings, technical documents, correspondence, submissions, approvals, and project records are properly controlled, updated, distributed, and archived in accordance with project and company requirements.

Key Responsibilities:

• Maintain and control project documents, drawings, correspondences, transmittals, reports, and records.
• Ensure all documents are properly filed, registered, tracked, and updated in the document control system.
• Receive, record, distribute, and follow up on project documents, including drawings, method statements, material submissions, RFIs, site instructions, inspection records, and approvals.
• Ensure latest approved drawings and documents are circulated to the relevant project teams, consultants, subcontractors, and stakeholders.
• Monitor document revisions and ensure obsolete documents are removed or clearly marked.
• Prepare and manage document transmittals, submission logs, drawing registers, and tracking reports.
• Coordinate with internal departments, consultants, contractors, and clients on document submissions and approvals.
• Ensure project documentation complies with company procedures, client requirements, and project standards.
• Assist in preparing documents for audits, meetings, progress claims, handover, and project close-out.
• Maintain proper filing for both hardcopy and softcopy documents.
• Support the project team with administrative duties where required.

Requirements:

• Minimum GCE “O” Level / Nitec / Diploma in Business Administration, Engineering, Construction Management, or related discipline.
• Prior experience as a Document Controller in the construction, engineering, infrastructure, or building industry will be an advantage.
