1. Division Seminar Publicity and Logistics Support

• Create seminar posters using provided information and templates
• Draft and disseminate seminar email announcements
• Assist in with venue setup and preparation of materials on the day of the seminar

2. Division’s Annual Magazine Production

• Collate content and high-resolution images from contributors
• Arrange and format content in accordance with the design plan

3. Development of Publicity Materials

• Liaise with relevant parties to gather content, including write-ups and images
• Design and produce materials such as posters and brochures
• Create short videos for teaching lab experiments and lecture demonstration experiments

4. Division Asset Management

• Maintain and update records of fixed and inventorised assets in a timely manner.
• Ensure accuracy and completeness of asset records and tagging.
• Manage asset disposals and transfers in compliance with NTU guidelines.
• Conduct regular asset sighting and verification for audit checks and handovers.
• Updating of SOPs for system processes.

5. Administrative and Logistical Support

• Provide general administrative and logistical support for division activities
• Support outreach events through logistics and publicity, as required

Job Requirements:

• Diploma/Degree in Business Administrative, Communications, or a related field.
• Familiarity with design tools (e.g. Canva) or basic video editing is an advantage.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).

The Raffles Service Agent / Executive delivers friendly and professional service that meets guest’s reservation experience expectations prior to their arrival.

Primary Responsibilities

Delivers Friendly and Professional Service

• Ensures smooth operation of Raffles Service department by attending to incoming calls, fax and emails that are pertaining to room reservation.
• Obtains all the necessary information to complete a room reservation in the Opera system, i.e. stay dates, flight details, rates, special requests and reservation notes.
• Completes the reservation process by combining all reservation details (including any Food and Beverage or Spa arrangements) and sending a confirmation to the guest.

Focuses on Guest Experience

• Supports guest’s decision to proceed with the reservation by providing accurate information on the price, room type, availability and the amenities.
• Is well versed with the preference of the regular guests and provide them with the consistent service anticipating their needs in advance.

Involvement in Wider Job Function Actions/Relationships

• Supports the Raffles Service colleagues to achieve upsell goals in various revenue streams.
• Coordinates with other departments (Front Office, Concierge, Food and Beverage, Raffles Spa, Housekeeping and Butler) on the guest’s needs and requirements.
• Works closely with Revenue department to be aware of the occupancy of the hotel (i.e. sold out dates, blackout dates and the need periods).
• Advises Raffles Service Manager of any deviations in rate applications or reservations arrangement.
• Maintains an accurate and updated filing system of all correspondence.
• Is familiar with hotel’s credit policies and handles billing instructions correctly.
• Performs clerical and administrative duties.
• Adheres to Raffles Hotel Singapore and Room Reservations department standard operating procedures, guidelines and grooming standards.
• Supports hotel's CSR and sustainability efforts.
• Ensures service standards and individual performance are aligned with Accor Hotels Values.
• Performs any other duties and responsibilities that may be assigned.

Candidate Profile

• Minimum tertiary education or equivalent.
• Knowledge of and experience of relevant software applications – spreadsheets, word processing and database management.
• Minimum 1 to 2 years of relevant experience in the hotel industry.
• Required to work on weekends, public holidays and rotating shift.
• Strong interpersonal skills with ability to communicate with all levels of colleagues.
• Service-oriented with an eye for details.
• Ability to work effectively and contribute to the team.

Job Summary
You will support the annual asset verification exercise using RFID technology, work with departments to complete and verify returns, and assist with asset updates and reconciliations in the relevant systems.

Key Responsibilities

• Support the annual asset verification exercise (prepare and test stock-take equipment, prepare asset listings, and update user guides).

• Liaise with business departments and guide them through the asset verification process.

• Work with the vendor to troubleshoot issues during RFID asset verification.

• Perform sampling checks on assets and support management reporting consolidation.

• Update asset locations after office relocation/renovation.

• Assist with asset management transactions/postings and reconciliations in Workday and the Asset Management System (where applicable).

• Bear witness to asset disposals and perform ad-hoc assignments when required.

Job Requirements

• Education in Accounting or Finance (with working experience in asset management).

• Working experience in asset management (fixed assets / equipment / asset register handling).

• Proficient in Microsoft Office applications (mandatory).

• Meticulous, independent, and responsible.

Job Responsibilities:

• Sort, pack, and repack ammunition safely and accurately
• Assist with stock accounting and maintain accurate inventory records
• Maintain 5S housekeeping standards in the warehouse
• Deliver ammunition across the island safely and on time
• Operate forklift and other warehouse equipment as needed
• Follow all safety protocols and standard operating procedures 

Job Requirements:

• NITEC / Higher NITEC in Logistics & Supply Chain Management, or related discipline
• Minimum 1 year of experience in a warehouse or logistics environment.
• Possess a valid Class 3 Driving License to operate company vehicles.
• Possess a valid Forklift License
• Experience with warehouse management system or inventory management system
• Willing to OT as required based on operational needs
