The HR & Admin Executive Officer supports both Human Resources and Administrative functions within the organization. This role involves managing day-to-day HR operations, employee administration, recruitment coordination, and general office administration. Strong communication skills in Japanese and English are required to liaise effectively with Japanese management, headquarters, expatriate staff, local employees, and external stakeholders.
Human Resources Responsibilities
Assist with recruitment: job postings, resume screening, interview scheduling, and onboarding arrangements
Prepare employment documentation, including contracts, confirmation letters, and HR correspondence
Maintain and update employee records, HR databases, and personnel files
Support work pass administration (Employment Pass, S Pass, Work Permit) including applications, renewals, and cancellations
Coordinate onboarding and offboarding processes for employees
Assist in payroll preparation, leave administration, and benefits coordination
Support HR initiatives, including training coordination, employee engagement, and performance management
Ensure compliance with Singapore employment regulations and company HR policies
Administrative Responsibilities
Provide general administrative support to management and office operations
Coordinate office facilities, procurement of supplies, and vendor management
Assist in organizing company events, meetings, and training sessions
Maintain proper documentation and filing of administrative records
Liaise with internal departments and external vendors for administrative matters
Japanese Communication & Coordination
Act as a liaison between Japanese management/headquarters and local employees
Provide translation or interpretation support between Japanese and English when required
Support administrative arrangements for Japanese expatriates, including relocation, housing coordination, and documentation assistance
