The School Uniform Cluster Head plays a crucial role in overseeing the implementation and management of school uniform matters across a designated cluster of schools. This role ensures clear and consistent communication between schools, parents, internal teams, and other vendors. Strong teamwork, adaptability, and a service-oriented mindset are essential—especially during the peak year-end sales period when resources may be lean and collaboration is key.
Job Responsibilities
1. Uniform Sales Support
• Source and prepare uniform samples for presentations or submissions.
• Attend presentations or meetings together with the Managing Director when
required.
• Support year-end sales operations from October to February.
• Prior retail or sales experience will be advantageous.
• Be prepared to support uniform sales at various schools and the Retail Store
when required.
2. Communication & Coordination
• Monitor school contracts and ensure timely renewals.
• Act as the key liaison between schools, parents, and internal teams on
uniform-related matters.
• Schedule and coordinate part-time staff for school sales activities.
• Notify all relevant parties (UBI / BB / Schools) in the event of changes to
sales dates.
• Liaise with school vendors such as bookshops to ensure smooth
collaboration.
• Provide timely updates and follow-ups when new information is received.
• Organise meetings with assigned schools to provide updates and plan yearend
sales activities.
3. Teamwork & Flexibility
• Work closely with colleagues to support uniform-related tasks across
assigned school clusters.
• Assist with stock deliveries, stock movement, and replenishment when
necessary.
• Provide support for Retail Outlet manpower and operations when required.
• Assist other teams during peak periods, even beyond assigned schools if
needed.
• Maintain a positive, team-oriented, and flexible attitude.
4. Inventory Management
• Monitor and update stock levels, particularly for school bookshops.
• Ensure timely replenishment of uniforms, especially during the year-end
sales season.
• Coordinate stock deliveries to schools and corporate clients.
• Liaise with Sales Operations for preparation of documentation related to
stock issuance.
• Maintain accurate inventory tracking for schools under your responsibility.
5. Customer Service
• Provide professional and courteous service to parents, school staff, and
stakeholders.
• Attend to and respond promptly to administrative requests, queries, and
feedback from schools.
• Handle incoming calls, customer enquiries, and complaints.
• Resolve issues effectively during peak sales periods.
6. Administrative & Computer Skills
• Manage communication via email and assist with basic reporting tasks.
• Participate in demand planning activities with the team.
• Use basic computer applications such as Excel and Word for daily tasks.
• Assist in training part-time staff for year-end sales operations.
• Delegating of Part Timer whenever required for schools that you in charge
of.
7. Cash Handling & Daily Sales Reporting
• Handle cash collection during on-site school sales.
• Ensure accurate reconciliation of daily sales collections.
• Submit sales records and cash to the Accounts team in a timely manner.
• Ensure all sales records are complete and tally with reports before
submission.
8. Projects & Business Expansion
• Identify and source new business opportunities when required.
• Build and maintain strong relationships with schools to support ongoing
projects such as new blazers, CCA uniforms, and staff uniforms.
• Monitor and respond to tenders, including those published on GeBIZ.
• Proactively explore and solicit new school or corporate accounts.
