Admin Executive Cum Receptionist – Corporate Services
Singapore

Job specification  

• Handling incoming mail (mail redirection)

• Arranging for courier – International/local

• Arranging for director’s signature

• Arranging for CTC of Directors/officers

• Ordering common seal – tied up to item (a) - recharge disbursement to the client

• Recharge of disbursement (ACRA fee, courier, etc) to client

• Physical filing

• Arrange for certification/notarization of documents

• Merging documents and uploading to one drive

• Updating registers and issuance share certificates

• Open file for newly incorporated company

• Updating billing log, NAV set up form/NAV Amendment form/Billing form

• ACRA/IRAS/MOM/other e-services Filing

• FATCA/CRS registration and filing with IRAS

• Corppass registration, authorization, withdraw and changes

• Termination Checklist

• Archive old file

• Compilation of KYC as requested by KYC team

• Receptionist function, be in the office 5 days a week

• Handling some office administration assignments

• Other assignments may be assigned by team leader/HOD

Skills Required:

• At least 2 to 3 years’ administrative experience.

• Good communicator and high attention to detail.

• Proactive, problem solver, able to work independently and able to work with others as a team.

• Ability to priorities assignment based on urgency

• Ability to follow through the assignment till completion

• Ability to work under pace environment and multi-tasks.

• Ability to liaise and work well with various stakeholders internally and externally, ie. directors, authorities, CS/FA teams, etc.

SLAB Services Private Limited is seeking to hire a Receptionist cum Administrative Junior Executive. The successful candidate will be the welcoming first point of contact for our visitors while supporting the smooth running of daily office operations.

Responsibilities& Duties

– Welcome visitors warmly and attend to their queries

– Manage meeting room bookings

– Co-ordinate with tea attendants to serve refreshments to clients and visitors

– Coordinate overseas courier request

– Frank outgoing mails and ensure proper cost recovery

– Route incoming fax to the relevant parties

– Take on any other duties as and when assigned

Qualifications/ Skills
• Relevant experience in a similar role preferred

• Demonstrates professionalism when receiving guests and representing the organisation

• PC literate with good knowledge of Microsoft Office, especially Excel and Word

• Meticulous, strong organisation and communication skills

• A ‘can do’ attitude, a team player with initiatives

• Good written communication and telephone etiquette

• Able to multitask and adapt to changing environment
