Executive Assistant to the CEO (Senior / Strategic Role)

The Opportunity

This role goes beyond traditional administrative support and is ideal for a seasoned Executive Assistant who thrives in a high-trust, high-impact environment. You will work closely with the CEO on strategic, operational, and confidential matters, supporting business execution across the organisation.

The role includes accompanying the CEO on overseas business trips, sometimes on short notice, and therefore requires flexibility, maturity, and comfort working closely with senior leadership in a professional setting.

Key Responsibilities

Strategic & Executive Support

• Act as a strategic partner to the CEO, supporting planning, execution, and follow-through of key initiatives

• Anticipate priorities and proactively manage deadlines, risks, and deliverables

• Prepare executive-level briefs, presentations, reports, and correspondence

Stakeholder & Leadership Coordination

• Serve as a key liaison between the CEO and senior management, internal teams, and external partners

• Attend selected meetings on behalf of the CEO, track action items, and ensure timely execution

• Handle highly confidential and sensitive matters with discretion and professionalism

Business Operations & Oversight

• Track strategic and cross-functional projects to ensure alignment with organisational goals

• Assist in reviewing proposals, contracts, and business documents

• Support governance, compliance, and internal processes where required

Overseas Travel & Executive Support

• Accompany the CEO (male) on solo overseas recruitment and business trips, typically lasting one week or longer

• Provide on-the-ground logistical, scheduling, and administrative support during travel

• Assist with meeting coordination, documentation, and itinerary management

• Be comfortable with occasional short-notice travel; all travel-related expenses will be covered by the company

Calendar, Travel & Priority Management

• Manage complex scheduling across multiple stakeholders and time zones

• Coordinate business travel arrangements, itineraries, and logistics

• Ensure the CEO’s time is optimised for high-impact activities

Executive Social Media & Personal Branding

• Manage the CEO's professional social media presence across relevant platforms (e.g. LinkedIn, Instagram)

• Develop and schedule content that reflects the CEO's voice, thought leadership, and business vision

• Monitor engagement, respond to relevant interactions, and identify opportunities to grow reach and influence

• Collaborate with the CEO to craft posts, articles, and updates that elevate the organisation's brand and profile

• Recommend strategies to strengthen online presence over time

Ad-hoc & Special Projects

• Support leadership initiatives, expansion plans, and time-sensitive projects

• Act as a problem-solver in fast-moving or high-pressure situations

Requirements

• This role is open to Singapore Citizens only.

• Bachelor’s Degree in Business Administration / Management, Marketing, Mass Communication, Finance, or a related field

• Minimum 2–5 years of experience supporting C-suite or senior leadership

• Prior experience in a senior Executive Assistant, Chief of Staff–like, or strategy support role is highly preferred

• Comfortable with frequent overseas travel and working closely with a senior male executive in a professional capacity

• Experience managing executive or corporate social media accounts is an advantage

• Strong business judgment, organisational skills, and attention to detail

• High level of discretion, maturity, and professionalism

• Excellent written and verbal communication skills

• Proficient in Microsoft Office / Google Workspace; strong presentation skills

Daily

1. Assist sales representative for tender documents and e-quotation.
2. Verify and update price book and product price into NAV system.
3. Assist sales representative to monitor e-alert for contract (BSO) expiry date and contracted volume and update e-quotation for approval.
4. DO will auto posted by NAV, verify discrepancy for selling price, quantity, surcharged, item or any other issues with sales and operation.
5. Assist operation on expressway permit, customer site clearance form and any other matters.
6. Handle customer queries.
7. Assist sales representative for new/review credit application submission with supporting documents to Finance, and monitor approval status.
8. Monitor AR Aging listing for overdue and over credit limits, and follow up and push payment status via email & phone call with customer.
9. Prepare daily credit review report, highlight over credit limit and credit terms status to GFC/SGM/Sales team, monitor stop/continue supply and sent reminder letter/legal action against long debts customers.

Weekly

1. Run DO summary jet report for weekly billing.
2. Manage E-invoice + E-DO email to customers.
3. Update payment status and submit weekly credit review report with sales justification for over credit limit and credit terms to CFO/GFC/SGM/Sales team to get approval for stop/continue supply.
4. Conduct bi-weekly AR meeting with finance & sales team, follow up and take actions against long overdue or exceeded credit limit customers.

Monthly

1. Update Bottom Ash data and email to Tuas Power Plant.
2. Manage back charges to sub-con/customers for operation related.
3. Credit note / debit note for projects pegged with BCA index.
4. Update CRM report.
5. Statement of accounts to customers.
6. Any other ad-hoc matters.

Yearly

1. Review annual credit review (credit limits & terms). Assist sales representative for active customers selection, fill up annual credit review application form and attached with supporting documents (Bizfile, audited FS, project information and etc).
2. Extract past payment transaction records for analysis.

Compensation& Benefits
