RESPONSIBILITIES

Position Overview:

The Admin Assistant is essential in ensuring the efficient operation of the Integrated Service Centre (ISC@235). You will help to ensure a pleasant, efficient and well-kept environment that is conducive for staff to give their best work and projects a welcoming ambience to visitors. Your responsibilities will include handling inquiries, managing appointments, and assisting with various administrative tasks.

Roles & Responsibilities: 

Front Desk and Communication Management:

• Welcome visitors and addressing inquiries about the organization's services.
• Direct visitors to the appropriate staff or department.
• Manage incoming phone calls and messages, screening and forwarding them promptly to the right team members.
• Handle and redirecting incoming emails to the appropriate staff or departments.
• Manage mail, packages, and deliveries, ensuring timely distribution to relevant personnel.
• Facilitate communication with internal teams and external stakeholders.
• Opening/Closing of ISC main entrance door and shutters

Administrative & Staff Support:

• Perform essential administrative tasks, including data entry, coordinating staff appointments, and preparation of reports.
• Provide logistical support for meetings, including overseeing meeting room booking, and preparing meeting materials.
• Assist in staff welfare, e.g. ordering Get Well Basket/Condolence Wreaths
• Assist in the other administrative processes or staff projects as required.

Office Facility Management:

• Coordinate office maintenance and repairs, e.g. printer, aircon, water filter, pest maintenance.
• Oversight of cleaner performance and liaison with cleaning vendor
• Regular checks of office, reporting of defects and facilitating repairs
• Assist with room setting up for meetings, events and/or trainings, and clearing up when required
• Monitoring of meeting rooms usage, maintenance and support staff adherence to protocols for room configuration
• Management of pantry and other shared spaces
• Monitor and manage office supplies inventory.
• Ordering of office supplies (paper, stationery) and basic pantry supplies, including healthy options
• Manage any minor renovation or improvement works at 235 office, if required.

• At least GCE "A" Level or Higher Nitecin Business Admin Services or other relevant qualifications.
• At least 1 year of work experience in a related role preferred.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Good communication skills, both verbal and written, and organizational skills with attention to detail.
• Compassionate and patient.
• Ability to multitask

RESPONSIBILITIES

• Responsible for daily efficient management and coordination of plant operations activities, according to established work procedures.
• Manage the optimal deployment of operational resources on shift to meet dispatch requirements.
• Issue work orders to the relevant Maintenance departments for rectification of all plant and equipment defects.
• Perform HV switching or isolation/ normalization in conjunction with PSO and authorized HV Electrical Maintenance Engineers for HV works.
• Responsible for reviewing MRSA for any maintenance work before issuing PTW based on LOTO SOP standards, including certifying for Hot Work, Confine Space and WAH.
• Responsible for the safe execution and inspection of Mechanical and Electrical Isolation/ Deisolation of equipment.
• Liaise with external agencies including PUB and steam customers on all operation matters during shift duty.
• Coordinate and implement quality control objectives, activities, or procedures to maximize process reliability.
• Supervise Technical Officers, Technician and Shift Team.
• Prepare daily, weekly and monthly production log/ records and regulatory compliance reports, when required.
• Maintain records or logbook entries of all key operational events/data.
• Regularly reviewing and keeping up to date with SOPs.

• Diploma in Engineering or equivalent.
• Preferred with Certification as a Work at Height Manager and Confine Space Worker.
• Proficiency in Microsoft Word, Microsoft Excel, and Maximo EAM or equivalent software.
• Have a safety mindset and display a good workplace safety behaviour.
• Be a part of the CERT team and be actively involved in emergency responses whenever called upon.
• Relevant experience in power plant operations, or related industries, is advantageous.
• Willingness to work 12-hour rotating shifts.

To operate, maintain and repair all power system equipment installed in SMRT in compliance with our Quality objective as stated in our Quality Procedures (QP) /Work Instructions (WI) /Task lists.

• To lead a team of technical officers to carry out and/ or supervise for preventive and corrective maintenance works on SMRT power system in compliance with relevant procedures and safety requirement.
• To plan and execute maintenance schedule and staff duty rosters in consultation with Engineering Maintenance Manager (EMM) in the most effective and efficient manner.
• To provide technical advice, information and instructions to other staff and ensure all drawings, diagrams, manuals and records are kept current and update.
• To assist EMM in conducting engineering and safety analysis, investigations and test.
• To carry out and/ or assist EMM supervision of corrective maintenance, upgrading, modification work and major repair work as assigned by EMM/ Section Manager. Prepare and submit reports on completion of work.
• To comply and exercise safety at all times in accordance to Safety Procedures.
• To attend Permit-to-work for all internal and external work parties.
• To perform rotating shift duties.
• To perform driving duty.
• To conduct home-based safety talk and compile monthly overtime report.
• To ensure compliance with our Quality objective as stated in our QP/ WIs/ Tasklists in daily activities.
• To undertake any other tasks or functions that are incidental or ancillary to the performance of assigned work.

Requirements:

• Diploma in Electrical Engineering or equivalent.
• At least 2 to 3 years of relevant experience in maintenance and trouble shooting of electrical equipment.
• Able to lead by example.
• Able to communicate effectively and work in and as a team.
