Job Description:

• Client servicing and follow-ups – Assist advisors in scheduling client meetings, following up on documents, and ensuring smooth communication with clients.
• Policy and investment administration – Prepare, submit, and track insurance applications, investment forms, and policy servicing requests.
• Compliance and documentation – Ensure all client documents, KYC forms, and regulatory requirements are properly completed and filed.
• Portfolio and reporting support – Help prepare client portfolio summaries, investment reports, and meeting materials for advisors.
• Operational and administrative support – Maintain client databases, manage appointments, coordinate seminars/events, and support day-to-day office operations.

Job Summary

You will manage office operations, support procurement and finance tasks, maintain documentation, and assist management and project teams to ensure smooth and compliant business processes.

Responsibilities

• Manage daily office operations to maintain smooth workflow and efficient use of resources
• Maintain office supplies, equipment, and facilities to ensure operational readiness
• Coordinate office maintenance and vendor services to support facility upkeep
• Handle incoming calls and general enquiries to provide timely and accurate information
• Prepare, organize, and maintain physical and digital records for easy access and retrieval
• Assist in drafting letters, reports, and internal communications to support effective information flow
• Assist in sourcing and purchasing supplies and services by obtaining quotations and comparing vendor pricing
• Process purchase requisitions and coordinate with suppliers to ensure timely delivery of goods and services
• Issue Purchase Orders (PO) and Delivery Orders and follow up on order status to maintain procurement accuracy
• Prepare import and export shipping documents to support logistics and compliance
• Support management and project teams with administrative tasks to facilitate project execution
• Coordinate deliveries and prepare import/export documents to ensure smooth logistics operations
• Assist in processing invoices and payment documentation to support financial accuracy
• Verify supplier bills and support monthly reconciliation as needed to maintain financial records
• Track and ensure timely payment to vendors to uphold good supplier relationships
• Ensure adherence to company policies and ISO 9001 procedures to maintain compliance and quality standards

Preferred competencies and qualifications

• At least 1 year of working experience preferred
• Proficient in Microsoft Office (Word, Excel, Outlook)
• Ability to work independently and collaboratively in a fast-paced environment
• Organized, responsible, committed, and meticulous with a positive work attitude
• Self-driven, self-motivated, and proactive
