-      In charge day to day airfreight operations including import clearance, export delivery, issuing of airwaybills and etc

OVERALL SUMMARY

The function is responsible for fulfilling all Charter Party requirements for spot voyages and time charter fixtures, ensuring customer satisfaction and maintaining the company’s reputation as a ‘Shipper of Choice,’ while controlling voyage-related expenses within acceptable levels.

AREAS OFRESPONSIBILITY

EXECUTIVE

• Monitor vessel movements and update operational systems accordingly.
• Review and respond to vessel-related communications, taking timely action.
• Manage voyage documentation and correspondence throughout the charter lifecycle.
• Coordinate with Superintendents, Commercial, Brokers, Agents &Vendors, and Masters to ensure smooth voyage execution.
• Appoint agents, arrange timely remittance, and oversee service providers as needed.
• Ensure compliance with company policies and contractual obligations,
• Maintain vessel certificates, Q88 or Baltic 99 forms (if applicable) and related records can refer to the relevant IT systems promptly.
• Initiate freight, demurrage and claims billing submissions.

Spot Voyages:

• Support pre-fixture planning and clearance processes.
• Facilitate voyage/discharge orders, stowage plans, bunkering plan and agent appointments.
• Manage post-fixture activities including cargo documentation and demurrage claims.

Time Charter Voyages:

• Coordinate pre-time-charter queries and documentation.
• Oversee time charter execution, owner’s agent appointments, and claims billing.
• Ensure delivery/redelivery notices and contractual obligations are fulfilled.

Other Duties:

• Maintain communication with Security and Insurance & Claims department for vessels entering high-risk areas and arrange necessary security measures.
• Obtains various Letters of Indemnity(LOIs) from Charterers as applicable.
• Update Time-Bar records and liaise with internal departments (post fixture) as needed.

QUALIFICATION/ EXPERIENCE

• Diploma holder and above
• 1-2 years relevant working experience
• Basic IT knowledge, e.g. Microsoft Word, Excel, Email
• Good communication skills – spoken and written English
• Ability to work under pressure
• Team player and be time sensitive

What You Will Do

1. Station Management & Daily Operations

Oversee day-to-day operations across all 4 stations, ensuring consistent service standards and smooth forecourt flow

Conduct regular site visits and inspections; provide objective reports to management with clear corrective actions

Coordinate with fuel, non-fuel, and systems teams to assess operational feasibility of new campaigns or initiatives

Manage traffic and queue control in line with authority guidelines

2. Manpower Management

Plan and allocate manpower across the station network, balancing peak-period coverage with cost efficiency

Own station rostering and ensure compliance with Singapore's Progressive Wage Model(PWM)

Lead recruitment coordination, onboarding, performance reviews, and day-to-day HR matters for frontline staff

Build a positive team culture and address performance issues in a fair, structured manner

3. Safety, Licensing & Regulatory Compliance

Own all station licenses and regulatory requirements (fuel retail, food handling, tobacco, etc.)

Lead monthly HSSE meetings and drive a proactive safety culture through hazard scans and near-miss reporting

Keep all stations inspection-ready with up-to-date documentation and equipment records

Lead and coordinate regulatory inspections with relevant Singapore authorities

Requirements

Must-have:

5+years managing a petrol station or multi-outlet retail / F&B operations

Hands-on manpower management experience 

Working knowledge of HSSE and workplace safety requirements

Chinese and English language proficiency (spoken and written)

Valid Class 3/3A driving license

Proficient in MS Office (Excel, Word, PowerPoint)

Good to have:
