Job Purpose

The Administrative Executive provides efficient and effective administrative support to ensure smooth daily operations of the organisation. This role supports management and internal stakeholders through coordination, documentation, office administration, and process support.

Key Responsibilities

1. Administrative & Office Support

• Manage day-to-day administrative operations, including filing, documentation, and record-keeping (both physical and digital), billing & payment.
• Handle incoming and outgoing correspondence, emails, and phone calls professionally.
• Coordinate meetings, appointments, and calendars; prepare meeting materials and take minutes when required. Prepare, format, and maintain reports, letters, presentations, and other documents
• Covers travel arrangements for staff business travel.

2. Coordination & Support

• Support the Senior Executive, Admin and management with ad-hoc administrative tasks and special projects.
• Assist in organising company events, training sessions, and internal activities. Liaise with internal departments and external parties (vendors, service providers, clients) to ensure smooth coordination.

3. Procurement & Vendor Management

• Manage office supplies inventory and place purchase orders as needed.
• Coordinate with vendors for office maintenance, repairs, and services.
• Proofreading artwork for name card printing.
• Track invoices, delivery orders, and ensure proper documentation for finance processing.

4. Process Support

• Assist in maintaining and improving administrative processes for efficiency.
• Support audits or checks by preparing requested documents and records.

5. HR & Corporate Support (if applicable)

• Assist with onboarding and offboarding processes (e.g. document preparation, system access, coordination).
• Maintain employee records and administrative HR documentation.
• Support HR or management with simple data tracking and reporting.

Job Requirements

Experience

• Preferably possess at least 2–3 years of relevant administrative or office support experience, in a large organization.

Skills & Competencies

• Strong organisational and time-management skills with attention to detail.
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Good written and verbal communication skills.
• Ability to multitask, prioritise work, and meet deadlines.

Key Responsibilities

• Oversee and support daily security operations across manufacturing facilities to ensure safety, compliance, and business continuity
• Monitor access control systems, CCTV, and alarm systems to safeguard critical infrastructure and assets
• Identify, assess, and respond to security threats, safety hazards, and incidents in a timely and professional manner
• Coordinate closely with on-site security officers to ensure proper deployment, shift coverage, and adherence to SOPs
• Liaise with internal stakeholders (e.g., operations, facilities, IT teams) and external security vendors to ensure seamless security operations
• Enforce security policies, procedures, and compliance standards, including audits and inspections
• Prepare and maintain security reports, incident logs, and documentation with high accuracy and professionalism

Requirements

• Possess a valid Security Supervisor license under the Progressive Wage Model (PWM)
• Prior experience in data centre, semiconductor, or manufacturing environments will be highly advantageous
• Familiarity with access control systems, CCTV monitoring, and security technologies
• Strong situational awareness and ability to handle high-pressure or sensitive environments
• Good communication and stakeholder management skills
• Experience in managing or coordinating with security vendors is preferred
• Tech-savvy with working knowledge of digital tools and security systems
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft 365
• Strong documentation and report-writing skills

The Quantity Surveyor manages all cost and contractual aspects ofsecurity systems projects, ensuring financial control, profitability, andcompliance with contractual requirements.

Key Responsibilities

• Prepare cost estimates and tender submissions for security systems projects
• Analyze project costs including equipment (cameras, servers, storage, cabling, fibre)
• Evaluate subcontractor quotations specific to security and ELV systems
• Manage progress claims, variation orders (VO), and final accounts
• Track project expenditure and ensure cost efficiency
• Support procurement of security systems and related infrastructure
• Administer contracts in accordance with industry standards
• Provide cost advice to project teams and management
• Maintain proper documentation for claims and financial reporting

Requirements

• Degree/Diploma in Quantity Surveying, Construction Management, or related field
• Minimum 3–8 years of experience in security systems / ELV / ICT project cost management
• Strong knowledge of contracts (FIDIC, SIA, or equivalent)
• Familiarity with CCTV, VMS, access control costing and BOQ preparation
• Strong analytical and negotiation skills

Project Security System Engineer [Commercial Project]

• Location: Office at Outram Road| Project will be Islandwide depending on assigned project
• Working Hours: Mon to Fri [830am – 6pm] Night and weekend works will be required depending on project requirements
• Salary: Basic up to $4500 + Transport $750 (car) or $400 (motorbike) or by reimbursement basis + HP by reimbursement basis

Overall Objective:

• Project Engineers will be responsible for leading and managing projects for security equipment installation, testing, commissioning and system programming in accordance to required standards.

Key Roles and Responsibilities:

• Lead and direct projects and ensure they are directed towards a common objective
• Engage and communicate with stakeholders to deliver project milestones and comply with strict deadlines
• Ensure client satisfaction and manage escalations, acting as point of contact to the client
• Ensure that the project delivers as-sold solution, remains within the baseline budget and is delivered on time whilst maintaining quality criteria and client satisfaction
• Coordinate activities of the project teams through task delegation, resource assignment and programme management
• Ensure proper documentation is in order
• Any other duties as assigned

Job Requirement:

• Minimum Diploma in Electronics & Communication Engineering or related field
• Preferably with 2 years’ relevant work experience in project management for security systems
• Technical knowledge on ELV, Networking and Security Systems (CCTV, Card Access, Alarm System) required
