Key Responsibilities

Talent Acquisition & Recruitment

• Manage the full recruitment lifecycle, including manpower planning, job postings, candidate sourcing, screening, interview coordination, offer preparation, and onboarding.

• Partner closely with hiring managers to understand workforce requirements and recruitment priorities.

• Source candidates through job portals, LinkedIn, recruitment agencies, employee referrals, networking, and other recruitment channels.

• Screen and assess candidates to identify suitable talent for technical, operational, commercial, and management positions.

• Coordinate and support interviews with hiring managers and management teams.

• Build and maintain talent pipelines for critical positions across engineering, project management, maintenance, sales, finance, administration, and leadership functions.

• Manage relationships with recruitment agencies and external recruitment partners.

• Support employer branding initiatives and recruitment campaigns to strengthen the Company’s visibility and attractiveness as an employer.

Human Resources Management

• Support onboarding, employee orientation, and integration activities.

• Maintain employee records, HR documentation, and personnel files.

• Support employment contract administration, probation reviews, employee confirmations, and employee lifecycle processes.

• Assist in the development, implementation, and continuous improvement of HR policies, procedures, and best practices.

• Support employee engagement initiatives, staff communication activities, and company events.

• Assist with performance management, training coordination, and employee development activities.

• Support work pass administration, employment compliance matters, and coordination with relevant government authorities where required.

• Ensure HR processes comply with Singapore employment regulations and company requirements.

Workforce Planning & Organizational Development

• Support workforce planning activities and organizational growth initiatives.

• Work closely with management to identify talent gaps and future staffing requirements.

• Assist in developing recruitment strategies to support business growth and operational needs.

• Provide recommendations on talent attraction, retention, employee engagement, and employee development initiatives.

• Support succession planning and organizational capability development where required.

Reporting & Administration

• Maintain recruitment trackers, HR databases, and employee records.

• Prepare recruitment reports, manpower statistics, and HR metrics for management review.

• Monitor recruitment performance and hiring effectiveness.

• Support HR budgeting and manpower planning activities where required.

• Assist with other HR and administrative responsibilities as assigned.

Requirements

• Degree or Diploma in Human Resources, Business Administration, Psychology, Management, or a related discipline.

• Minimum 5 years of experience in talent acquisition, recruitment, human resources, or a related field.

• Experience recruiting technical, engineering, project management, maintenance, sales, operations, or professional positions will be highly advantageous.

• Experience recruiting for lift, escalator, passenger conveyor, engineering, maintenance, infrastructure, transportation, or technical service-related positions will be highly advantageous.

• Experience supporting HR functions within engineering, infrastructure, construction, transportation, manufacturing, building services, vertical transportation, or related industries will be advantageous.

• Familiarity with Singapore employment regulations, MOM requirements, work pass processes, and HR best practices will be advantageous.

• Experience working with recruitment agencies, LinkedIn Recruiter, and major recruitment platforms will be advantageous.

• Strong interpersonal, communication, stakeholder management, and relationship-building skills.

• Strong interviewing, candidate assessment, and talent identification capabilities.

• Highly organized with strong attention to detail and the ability to manage multiple recruitment assignments simultaneously.

• Proficiency in Microsoft Office applications including Excel, Word, and PowerPoint.

• Self-motivated, proactive, and capable of working independently in a fast-paced environment.

Responsibilities

HR Technology Strategy: 

• Develop and implement a comprehensive HR technology strategy aligned with the organization’s goals.
• Stay current with HR technology trends and recommend innovative solutions.

System Implementation and Management: 

• Work with the Project Manager to lead the selection, implementation, and maintenance of HR software systems and other relevant platforms.
• Oversee system integrations to ensure seamless data flow between HR and other business systems.

Project Management:

• Work with the Project Manager to manage HR IT projects from initiation to completion, ensuring timely delivery an adherence to budget and quality standards.
• Coordinate with vendors, consultants and internal teams to achieve project objectives.

Vendor Management:

• Manage relationships with vendors and service providers supporting HR systems.
• Monitor vendor performance against agreed SLAs and KPIs, and ensure timely issue resolution.
• Oversee contract compliance and support contract renewals and evaluations.
• Work closely with vendors to ensure quality delivery, system stability, and continuous improvement.

Process Improvement:

• Analyse HR processes and identify opportunities for automation and efficiency improvements.
• Implement process improvements to enhance the employee experience and operational efficiency.

Documentation: 

• Create and maintain documentation such as design specifications, test plans, and user guides in accordance with adopted methodologies.

Change Management: 

• Facilitate user testing and execute change requests in accordance with the internal change and release process

Issue Resolution: 

• Resolve problem tickets escalated from the Service Desk within the agreed service level.

Compliance:

• Ensure HR technology solutions comply with relevant laws, regulations and organizational policies.
• Maintain up to date knowledge of legal requirements and industry standards.

Requirements

• Bachelor’s degree in Information Technology, Human Resources, or a related field. 
• Proven experience in HR IT or a similar role. 
• Strong understanding of HR technology systems and related technologies. 
• Understanding of HR processes, regulations, and metrics, along with experience in implementing and managing HR technology solutions. 
• Excellent project management skills. 
• Strong analytical and problem-solving abilities. 
• Excellent communication and collaboration skills. 
• Ability to work independently and manage multiple priorities. 

Preferred Skills: 

• Experience with SAP Successfactor (Employee Central, Recruitment Management, Performance and Goals Management, Learning Management System) and Qualtrics.  
• Knowledge of change management processes. 
• Ability to create and maintain comprehensive documentation. 
• Experience in process re-engineering and business process improvement initiatives. 

Responsibilities

• Process monthly payroll and statutory related submissions (e.g. CPF, Income Tax)

• Administer Work Injury Compensation, MOM reporting, insurance claim, etc

• Handle staff onboarding/offboarding & staff orientation

• Submit Government Paid Leave Claim

• Leave Management

• Organise employee communication platforms and activities

• Identify training and development needs of employees, coordinate for training arrangement and training grant submission

• Ensure timely update of employees’ database, proper filing system and smooth office administration

• Monitor staff confirmation and medical insurance member insertion/deletion

Requirements

• Diploma or Degree holder in Human Resources Management or Business Management is preferred

• Preferably 3 years in relevant HR administration and payroll

Job Description

1. Purchase Order (PO) Administration

• Review Purchase Order (PO) requests submitted by designers and ensure all required information is complete and in compliance with the Company's procurement procedures.

• Verify project payment status with the respective designer and ensure the required payment milestones have been met before processing PO requests.

• Ensure all necessary approvals are obtained prior to PO issuance.

• Issue Purchase Orders and follow up on any amendments, revisions, reissuance, or closure of POs.

• Maintain and update Purchase Orders, Variation Orders (VOs), invoices, and related records.

• Ensure all PO-related documents and records are accurate, complete, and updated in a timely manner.

2. Supplier & Subcontractor Administration

• Serve as the main liaison between the Company and suppliers/subcontractors for day-to-day coordination and communication.

• Coordinate and follow up on meetings, onboarding procedures, agreements, and related documentation for new suppliers and subcontractors.

• Maintain and update the supplier and subcontractor database.

• Collect, organize, and regularly update suppliers' and subcontractors' quotations, price lists, and related information.

• Maintain and manage supplier and subcontractor records, agreements, and supporting documents.

3. After-Sales Service Coordination

• Serve as the primary point of contact for after-sales service enquiries and requests.

• Receive, record, and follow up on customer feedback, service requests, and rectification cases.

• Coordinate with suppliers and subcontractors to arrange rectification works, maintenance services, and other after-sales matters.

• Monitor the progress of after-sales cases and ensure timely resolution and closure.

• Maintain and update after-sales service records.

4. Permit Application & Administrative Support

• Assist the Company in applying for and following up on permits and other related applications.

• Provide general administrative support to the department.

• Perform any other ad hoc duties and responsibilities assigned by Management.

Requirements

• Minimum Diploma, LCCI, or equivalent qualification.

• Accounting background is required.

• Experience in Administration, Accounts, Project Administration, or related roles will have an added advantage.

• Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.

• Strong attention to detail and accuracy in handling figures, pricing, and documentation.

• Good organizational, communication, and coordination skills.

• Responsible, proactive, and able to work independently.

• Experience in the Interior Design, Renovation, or Construction industry will be an added advantage.
