MAIN DUTIES AND RESPONSIBILITIES

Operations

• Assist the Manager to supervise a team of ground operations staff

• Ensure smooth operation of direct admission, air evacuation, management of patient medical appointments and all patient liaison services

• Review existing work processes/workflows, and propose continuous improvement to the processes/workflows

• Develop and implement new operational workflows to support the department’s work

• Manage and co-ordinate appointments of VVIP/VIP with the respective internal stakeholders to ensure that the whole medical journey is seamless

• Host VVIP/VIP visitors and coordinate the visit with all the stakeholders involved to ensure the visit goes smoothly

• Perform frontline counter duties at times

• On rotation for 24/7 on-call duties

Team Development

• Provide On-Job Training (OJT) to new colleagues as assigned

• Coach and mentor ground team

• Develop and refine training materials and manuals

• Assist Assistant Manager/ Manager to organize roll-calls and briefing sessions

• Be an effective lead to promote collegiality and teamwork within the department and hospital

Service Quality

• Assist Assistant Manager/ Manager to attend to complaints

• Investigate complaints and incidents

• Analyze service issues and proactively develop effective solutions to solve operational and systemic problems

• Write written replies to complainants

• Conduct quality audits to ensure high service standards and adherence to procedures and guidelines

• Actively participate as a member or team lead in quality improvement projects at department/division/hospital level

Administrative and Support Functions

• Responsible for managing fixed assets and equipment of the department (phone, IT systems)

• Ensure equipment are working and liaise with the vendors or internal departments to resolve issues expeditiously to ensure minimal downtime

• Troubleshoot any technical problems encountered by the team

• Support in the collation of operational and management reports generate accurate statistics for management’s decision making

• Ensure all documents and data are properly stored, filed and disposed of in accordance to hospital’s data governance polices

General

• Participate in hospital-level projects and workgroups

• Organize meetings, write meeting minutes and follow-up on meeting action points at department/division/hospital level

• Participate in emergency planning exercise and render support in any hospital emergency or incidents when required

• Assist to carry out any other duties assigned

Job Responsibilities

• Support HR-related inquiries received from employees, line managers or other stakeholders.

• Manage the inquiries using available system, this includes logging of the cases received, re-assigning to other teams where the inquiries cannot be answered by HR Support Centre, to closure within SLA.

• Create and maintain HR-related frequently-asked questions (FAQs) on the intranet and HR chatbot.

• Manage and optimize the HR Support Centre knowledge database, ensuring its content remains accurate and up-to-date.

• Participate in activities to promote the services of HR Support Centre, such as the design of eDMs and posters.

• Support HR Operations by managing diverse administrative tasks, including but not limited to:

- Liaising with vendors to follow up on background screening reports for candidates

- Responding to reference check requests for former employees

- Preparing certificates of employment for employees, based on specific request types

- Executing other HR-related administrative duties as assigned

• Prepare regular and adhoc reports for management analysis.

• Identify areas for improvement and contribute to developing solutions that enhance productivity, work quality, and service delivery in HR support processes.

• Any other duties deemed reasonable and necessary by the business.

Requirements:

• Diploma in Human Resource or Business-related discipline.

• IT savvy and comfortable with the use of Microsoft Office applications, especially Microsoft Excel to handle large amount of data.

• Minimum 2 year of relevant experience.

Job Summary

This role is responsible for the smooth execution of treasury operations, accurate transaction processing, and adherence to internal controls. As and when required, the role supports the Assistant Manager in bank account management, loan management and reporting

Key Responsibilities

1. Treasury operations

a) Monitor and update daily cash balances

b) Administer database of bank accounts of vendors on accounting system and online banking portals

c) Execute payments in accordance with company’s approval policies:

i) Routine payments to vendors based on aging profile and cut-off time

ii) Adhoc payments

iii) Monthly funding for subsidiaries, including FX transactions

iv) Payments on behalf of affiliates

v) Capital calls for investments

vi) Invoicing for intercompany management fees

d) Support the Assistant Manager in providing insights into cash flow drivers, segregated by nature of transactions, frequency, vendor

e) Manage payment process

i) Manage communication with vendors on payments

ii) Liaise and manage internal stakeholders’ payment requests and escalate urgent payments to Assistant Manager and Treasurer

2. Accounting

a) Input journal entries for executed payments and bank charges

Qualifications & Experience

▪ Bachelor’s degree in Finance, Business, Commerce, or related field is advantageous

▪ Minimum 2 years of relevant experience

▪ Strong knowledge of accounts payable and banking operations

▪ Advanced Excel skills

▪ Good to have working experience with Dynamics 365

▪ Possess good communication and interpersonal skills of coordinating with internal departments
