Purpose of the role
As part of our continued business growth, we are seeking a motivated and detail-oriented Tender Executive to support and manage the end-to-end tendering process. The ideal candidate is familiar with Singapore government tender procedures, proficient in Microsoft Word, and possesses a strong willingness to learn, contribute ideas, and improve internal processes.
Key Responsibilities
· Prepare, review, and submit tender documents in compliance with requirements and deadlines
· Manage the full tender lifecycle, including document compilation, formatting, and submission
· Liaise with internal stakeholders to gather necessary information for tender responses
· Ensure all tender documents are complete, accurate, and aligned with client specifications
· Review and amend formatting of DHI Proposals and Reports ahead of key submissions
· Maintain proper documentation and records of submitted tenders
· Monitor tender portals (eg GeBIZ) for new opportunities, updates, and clarifications
· Track and disseminate daily tender alerts, highlighting relevant opportunities to internal stakeholders
· Support post-submission clarifications and follow-ups as required
· Monitor DHI Singapore’s general company email address, and disseminate proposal requests, contractual documents and other correspondence to the relevant DHI staff
· Work with team members to ensure Company and Project-Specific Insurances are in place and renewed in a timely manner, and that competitive quotations for new project-specific insurance is provided in time for tender submissions (where needed)
· Provide general office administrative and staff support when needed (e.g. greet visitors, arrange access cards for visiting DHI staff, handle correspondence and calls, assist with DHI staff travel arrangements, etc.)
· Assist with planning, arrangements and logistics for company events, conferences and exhibitions
· Support and cover for other members of the Proposal and Tender Admin team during planned or unplanned absences
· Identify areas for improvement in tender processes and workflows, and proactively suggest enhancements
Experience & Knowledge
· Diploma or Degree in Business Administration, Engineering, or a related field
· 3 to 5 years of experience in tender preparation or related roles
· Familiarity with Singapore government tendering processes and platforms (e.g., GeBIZ)
· Proficient in Microsoft Word; strong document formatting skills are essential
· Excellent attention to detail and organizational skills
· Strong communication and coordination abilities
· Self-motivated, proactive, and eager to learn
· Positive attitude with a willingness to contribute ideas for continuous improvement
