Job Overview

We are looking for a meticulous and proactive individual to handle office administration and basic IT logistics. This role involves coordinating with our China-based Finance team and ensuring smooth daily operations for a team of 30.

Key Responsibilities

1. Financial Administration

• Invoicing: Process and submit monthly invoices (low volume) to Finance; track payments to ensure timeliness.

• Petty Cash: Maintain and update accurate records using Excel.

• Employee Benefits: Purchase and distribute birthday vouchers monthly.

2. Office & Vendor Management

• Inventory: Monitor and replenish stationery, pantry supplies, and office equipment.

• Vendor Liaison: Coordinate services for air conditioning, water supply, and couriers.

• Mail & Logistics: Handle mailbox duties, scan mail, and run external errands (1–2 times/month).

• Shipping: Arrange courier/postage (e.g., FedEx, SF Express) as needed (low volume).

3. IT & Asset Management

• Asset Tracking: Manage the company asset register (laptops, etc.), including issuing gear to new hires and retrieving it from leavers.

• IT Prep: Reformat and set up laptops/computers for new or departing employees to ensure security and functionality.

4. Culture & Engagement

• Team Building: Plan and execute activities for 30 team members every 2–3 months.

Job Requirements

Role Purpose

The GC Solution Marketing Specialist supports the development and execution of go‑to‑market strategies for digital service and solution products within the Graphic Communications portfolio. Strategic HR Business Partnering

• Strategic Alignment: Collaborate with line managers to design and execute HR strategies that directly support business objectives and workforce needs.
