The Purchasing & Administrative Executive supports both administrative operations and procurement functions to ensure efficient office management while sourcing technical materials, equipment, and services required for engineering projects. The ideal candidate is detail-oriented, cost-conscious, and familiar with engineering specifications and project timelines.
Key Responsibilities
Purchasing Duties
Source and procure engineering materials, equipment, tools, and services
Evaluate supplier quotations based on technical specifications, cost, and lead time
Negotiate pricing and terms with vendors and subcontractors
Prepare and issue purchase orders in line with project requirements
Coordinate closely with engineers to ensure purchased items meet specifications
Track deliveries and ensure timely supply to project sites
Handle discrepancies in quality, quantity, or delivery schedules
Maintain supplier performance records and approved vendor lists
Administrative Duties
Manage daily office operations to ensure smooth day-to-day operations
Coordinate meetings, site visits, and project schedules
Prepare reports, minutes of meetings, and internal documentation
Liaise with internal departments, site teams, and external stakeholders
Support HR and management with administrative tasks as needed
Requirements
Diploma or Degree in Business Administration, Supply Chain, Engineering, or related field
2–5 years of experience in purchasing and administrative roles, preferably in engineering, construction, or manufacturing
Familiar with technical specifications, engineering materials, and equipment
Experience with ERP systems or procurement software
Strong negotiation and vendor management skills
Knowledge of inventory control and material planning
Good organizational and multitasking abilities in a project-based environment
Strong communication skills to liaise with engineers, suppliers, and project teams
