Duties & Responsibilities:

·       Data entry for full set of accounts (receivables/ receipts, payables/ payments, petty cash etc.)

·       Assist in preparation of GST reports for quarterly submissions

Duties & Responsibilities:

Logistics & Operations:

• Execute and coordinate logistics and warehousing plans, including inbound, internal inventory transfers, and outbound processes.

• Prepare and process all types of shipping documentation in a timely manner.

• Ensure smooth cargo transit by coordinating with multiple parties, including shipping agents, carriers, and customs.

• Verify and process invoices from suppliers and forwarders.

• Coordinate maintenance and services for company vehicles and operation facilities.

Customer Service & Administration:

• Serve as the primary point of contact for house accounts, following up on delivery requirements and payment status.

• Support the sales and account management teams with documentation and communication.

• Interface with customers to address shipment inquiries and provide timely updates.

Sea freight & Global Distribution

·       Liaise with shipping lines and freight forwarders to secure space for related dangerous goods (DG) if applicable.

·       Coordinate shipments for import/export of batteries, recovered materials etc.

·       Know appropriate incoterms to mitigate risk during high stakes transport of volatile materials.

Customs Compliance & HS Classification

·       Know how to assign and verify HS codes for complex products

·       Interface with government agency for basel permits and Singapore Customs for strategic goods control.

Major Duties & Responsibilities:

· Protect property and safety by maintaining a safe and secure environment; Maintain a high visibility presence and prevent illegal or inappropriate actions that will/ may cause harm to the premise and the people within the premise

· Welcome guests of the organization, ensure contact tracing is done accordingly via electronic and/ or manual means; Ensure all visitors and/ or contractors to the premise fill up their particulars reflectively within the record.

· Observe signs of possible crime or disorder, investigate disturbances, take action of unusual occurrences and report any suspicious incidents in a timely manner; stay visible

· Carry out traffic control/ management to ensure vehicles and people are safe and are aware of the possible traffic hazard(s) within the premise

· Follow emergency response guidelines, protocols, hierarchy/ reporting structure as indicated by SWM ERT procedure, take specific and appropriate actions as a security guard in the event of any emergency, remain vigilant and ready for next steps, maintaining communication with the emergency response team, the management team and/ or SCDF (where appropriate and assigned by a SWM management team member)

· Any other reasonable guard duties (in relation to safety) assigned by superior

· Monitoring of the CCTV cameras and reporting any suspicious activity

· Ensuring that the Transportation trucks are allowed inside / outside facility after verifying relevant documents and/ or activities as follows:

• Prior to entrance:

· Absence of leakage from vehicle

· The vehicle is fit to transport and not over-loaded (fitness of delivery trucks to transit materials)

· Driver’s license

· Essential information as required by SWM’s VMS, including container number

• Prior to exit:

· Checking out the driver

Key Responsibilities

Office Administration & Operations

• Provide dedicated Personal Assistant (PA) support to the CEO, including managing calendar commitments, scheduling complex meetings, and handling personal administrative matters.

• Manage daily front-desk operations, including handling phone calls, sorting incoming/outgoing mail, and couriers.

• Maintain office tidiness and manage inventory for office utilities, stationery, and pantry supplies.

• Track, manage, and coordinate the timely renewal of all corporate, operational, and regulatory licenses via GoBusiness and related portals.

• Specifically oversee compliance administration and tracking for National Environment Agency (NEA) licenses, including General Waste Disposal Facility (GWDF) and General Waste Collector (GWC) licenses.

• Assist in coordinating internal and external audits, including preparing administrative documentation, maintaining compliance logs, and liaising with auditors.

• Coordinate company-wide fire drills and emergency evacuation exercises in compliance with building management and local safety regulations.

• Conduct regular inspections of workplace fire extinguishers and first-aid kits, ensuring they are serviced, valid, and up to code.

• Coordinate with building management and external vendors for office maintenance, IT support, and equipment servicing.

Finance & Administrative Support

• Systematically collect, compile, and track all incoming company invoices and billing statements from various departments and vendors.

• Verify invoice details and systematically pass them to the CEO for review and authorized signature in a timely manner.

• Organize signed financial documentation and maintain clear records for subsequent processing or submission to the accounts team/external corporate accountant.

HR & IT Support

• Manage the IT onboarding process, including company email creation, configuring basic access, and maintaining the corporate user directory.

• Oversee IT asset management, including laptop assignment, hardware tracking, inventory logging, and collecting equipment during employee offboarding.

• Coordinate company events, team-building activities, and internal meetings.

Job Requirements

• Qualifications: Diploma in Business Administration, Human Resources, or a related discipline.

• Experience: Minimum 1–3 years of experience in an administrative, secretarial, or office management role in Singapore. Prior experience handling basic financial administration (such as invoice coordination) and providing personal assistant support to C-suite executives is highly advantageous.

• Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and tech-savvy enough to navigate email/calendar administration consoles (e.g., Google Workspace/Microsoft 365) and government transactional systems (GoBusiness, NEA ePortal).

• Attributes:
