The Administrative Assistant manages daily administrative tasks at HQ and actively supports client site operations to ensure smooth service delivery. This role requires hands-on involvement both in the office and on-site.

Responsibilities

• Visit client sites to manage operational matters, address service issues, and ensure smooth service delivery
• Serve as the on-ground contact during site visits to manage client expectations and resolve issues promptly
• Conduct site inspections, verify job completion, and collect signed checklists or job sheets from workers
• Coordinate with supervisors and day/night teams to ensure jobs meet schedules and client requirements
• Follow up on missed or last-minute jobs and liaise with clients to obtain necessary documentation timely
• Support urgent Permit-to-Work (PTW) applications for last-minute site jobs to secure timely approvals
• Coordinate with subcontractors to arrange and confirm cleaning schedules, notifying clients professionally
• Apply for PTWs across various MCSTs and maintain positive relationships with building management
• Distribute approved PTWs promptly to workers before scheduled jobs
• Maintain accurate records of staff leave including Annual, Medical, Claims, and Unpaid Leave
• Monitor staff course expiry dates, schedule courses, and submit reimbursement claims with SFEC
• Monitor company and employee insurance policies and liaise with agents to ensure valid coverage
• Enter and maintain complete staff records in HR/payroll systems, including onboarding and offboarding
• Calculate month-end overtime for day-shift workers and distribute payslips upon salary issuance
• Maintain organized filing of employee and office documents, both physical and digital
• Conduct stock-taking and inventory control for company uniforms, equipment, and products
• Arrange logistics such as travel bookings for staff and shipment of products when required
• Occasionally manage social media postings

About the Role

We are looking for a hands-on, experienced HVAC Specialist with a strong focus on Kitchen Exhaust Ducting (KED) systems. You will be responsible for the installation, maintenance, troubleshooting, and repair of KED systems across commercial and F&B environments. If you thrive on solving real-world problems, from stubborn chokes to mystery smells and take pride in clean, safe, and compliant exhaust systems, we want to hear from you.

Key Responsibilities

•     Install, maintain, and service Kitchen Exhaust Ducting (KED) systems across various duct configurations.

•     Replace and change motor fans; install and commission backdraft dampers.

•     Perform thorough cleaning of motor fans, air cleaners, and internal exhaust ducting pipes.

•     Carry out ceiling cutting works for new KED installations and system modifications.

•     Diagnose and resolve common KED issues including choke blockages, odour/smell leaks, and worn or faulty parts.

•     Conduct parts replacement and component changeouts as required.

•     Ensure all works are carried out safely, cleanly, and in compliance with NEA and relevant Singapore standards.

•     Liaise with site supervisors and clients on job scope, progress, and post-service handover.

•     Maintain accurate service records and job completion reports.

•     Train the team to do KED works

Requirements

•     Minimum 2–3 years of hands-on experience in KED installation and maintenance.

•     Proven experience handling different KED duct configurations (e.g., shared risers, dedicated stacks, inline systems).

•     Demonstrated ability to clean exhaust ducting internally (duct interior pipe cleaning).

•     Practical experience troubleshooting choke issues, smell/odour leaks, and executing parts changeouts.

•     Comfortable with ceiling cutting and minor civil works related to HVAC installation.

•     Able to work independently on-site with minimal supervision.

•     Physically fit and comfortable working at height and in confined spaces.

•    *Able to maintain and conduct chemical wash on aircon is a bonus
