Job Summary

• The Operations Admin manages operations and administrative work, acting as the central hub to support enquiries, scheduling, finance administration, and internal documentation for smooth daily operations.
• Work schedule: 3 days onsite, 2 days WFH.

Responsibilities

• Manage all incoming enquiries and respond promptly to clients to ensure clear communication
• Provide ballpark and simple quotations to clients and escalate complex cases for resolution
• Assist the team with scheduling and coordination to support operational efficiency
• Prepare and maintain accurate quotations and invoices for financial tracking
• Track expenses and revenue to support financial oversight and reporting
• Maintain payment and cost records to ensure accurate financial documentation
• Organize and update contracts, HR documents, SOPs, and company handbook for compliance and accessibility
• Keep Notion and other internal systems updated to support smooth operations
• Assist in preparing pitch decks to support business development efforts
• Track marketing data and generate reports to inform marketing strategies
• Manage multiple tasks calmly and proactively to maintain structured and efficient backend operations

Role Overview

The Junior Landscape Technician supports daily operations across nursery, preparation, and project execution. This role focuses on reliability, consistency, and hands-on work to ensure all projects are properly prepared and executed.

Key Responsibilities

1. Daily Operations & Preparation

• Prepare job materials based on submitted prep lists from Landscape and Events teams

• Ensure all required items are ready prior to project execution

• Maintain cleanliness and organisation of nursery and storage areas

2. Mock-Up & Setup Support

• Assist in creating plant mock-ups based on team references

• Arrange plants, materials, and styling according to design direction

• Support loading and unloading of items for project deployment

3. Sourcing & Logistics

• Source plants and materials independently to fulfil project needs

• Coordinate purchases from nurseries and suppliers

• Assist with transportation and delivery preparation

4. On-Site Support

• Assist team during installations and setups

• Follow instructions from Project Managers and Senior Technicians

• Ensure work is carried out safely and efficiently

Requirements

• Responsible and reliable with good work ethic

• Able to work in a fast-paced, hands-on environment

• Comfortable with physical work (lifting, moving plants/materials)

• Basic knowledge or interest in plants and landscaping preferred

• Preferably able to drive (Class 3/3A licence)

Key Responsibilities

1. Project Planning & Execution

• Oversee preparation of job materials and ensure readiness for all projects

• Review and organise prep lists fromLandscape and Events teams

• Ensure efficient workflow across nursery and site operations

2. Mock-Up & Design Execution

• Create and refine plant mock-ups based on project requirements

• Ensure designs are executed accurately and aligned with company standards

• Guide junior staff in mock-up and preparation processes

3. Sourcing & Logistics

• Source plants and materials independently to fulfil project needs

• Manage supplier relationships and ensure quality selection

• Plan logistics, delivery, and material coordination

4. Client-Facing Responsibilities

• Conduct site visits and basic consultations

• Assist in preparing quotations and project proposals

• Support sales process through technical input and recommendations

5. On-Site Leadership

• Lead installation teams on-site when required

• Ensure quality, safety, and efficiency during project execution

• Troubleshoot issues and make decisions on-site

Requirements

• Prior experience in landscaping, horticulture, or related field preferred

• Strong sense of responsibility and ownership

• Able to manage both operational and client-facing tasks

• Good communication and coordination skills

• Preferably able to drive (Class 3/3A licence)
