Job Summary
Join Practical Mediscience as an Administration Manager to lead administrative, accounts, and logistics functions, ensuring smooth daily operations and supporting business growth in a dynamic environment.
Responsibilities
- Oversee daily administrative operations to ensure efficiency and compliance with company policies
- Manage documentation, filing systems, and data records accurately and confidentially
- Supervise and guide administrative staff to complete tasks effectively
- Implement process improvements to enhance administrative workflow
- Process and oversee invoices and delivery orders accurately to ensure timely product/service delivery
- Plan delivery schedules and coordinate with warehouse, logistics teams, and customers to ensure smooth delivery
- Monitor inventory availability and liaise with warehouse or procurement teams as needed
- Coordinate deliveries ensuring all documentation (e.g., delivery orders, invoices) is complete and accurate
- Perform data entry, filing, and document management tasks efficiently
- Support administrative duties assigned by the Finance Admin Director, including ad-hoc tasks
- Provide excellent customer service by maintaining positive client relationships and updating on order status or shipment issues
- Manage purchase orders by creating, tracking, and following up with suppliers to ensure timely procurement
- Coordinate incoming and outgoing shipments to guarantee timely delivery
- Verify goods received and perform goods receipt processes accurately
- Liaise with vendors and logistics providers to ensure cost-effective and efficient operations
Preferred competencies and qualifications
- Diploma Certificate
- Previous experience in an administrative or secretarial role
- Proficient in Microsoft Office suite, particularly Excel and Word
- Strong organisational and time management skills to prioritise tasks effectively
- Excellent communication and interpersonal skills with a customer-focused approach
- Ability to work independently and collaboratively as part of a team
- Keen eye for detail and ability to maintain accuracy under pressure
