Office Manager (Law Firm – Singapore CBD)

I. Position Overview

This role is responsible for the overall administrative and operational management of the Singapore CBD office. It supports the daily operations of the law firm, ensuring the office runs efficiently, compliantly, and smoothly, while also assisting with basic HR and operational matters.

This position plays a key supporting role in a small cross-border law firm environment and requires prior experience in office management within a law firm or professional services firm.

II. Key Responsibilities

1. Office Operations Management

• Oversee daily operations and administrative management of the CBD office
• Manage office environment, equipment, facilities, and vendor coordination
• Control office budget and basic expense spending
• Organize internal meetings and coordinate client reception arrangements

2. Law Firm Administrative Support

• Assist lawyers with document organization, filing, and basic documentation support
• Manage contract and document printing, signing, and circulation processes
• Support lawyers’ scheduling and meeting coordination

3. HR & Personnel Administration Support

• Assist with employee onboarding and offboarding processes (contracts, systems, documentation)
• Support basic recruitment processes (resume screening, interview scheduling)
• Assist with attendance tracking and payroll data preparation
• Support Work Pass and other basic HR administrative matters

4. Finance & Administrative Support

• Handle employee expense reimbursements and expense tracking
• Assist with invoice organization and follow up on payment processes
• Liaise with external accountants, corporate secretaries, and related service providers

5. External Coordination

• Communicate with landlords, vendors, and external institutions on a daily basis
• Assist in handling office-related government and compliance matters

III. Requirements

• 3–8 years of experience as an Office Manager / Admin / Executive Assistant
• Experience in a law firm, consulting firm, or professional services firm (preferred)
• Familiar with the Singapore office environment and basic HR processes
• Detail-oriented, responsible, and able to handle multiple tasks independently
• Strong time management and problem-solving skills

IV. Preferred Qualifications

• Experience in a law firm or legal services organization
• Familiarity with MOM regulations and Work Pass processes
• Basic experience in HR generalist functions or payroll
• Experience working in a CBD office environment

V. Reporting Line

• Reports to: Managing Partner / Office Head
• Works closely with: Legal team, external accountants, corporate secretaries, and service providers

VI. Compensation

• SGD 8,000 – 10,000 per month (based on experience and capability)
• Year-end bonus may be provided (based on performance and contribution)
