Job Summary

Manage and execute comprehensive HR functions including leave and attendance administration, payroll processing, compliance submissions, and employee records management to support operational efficiency and workforce satisfaction.

Responsibilities

• Manage daily leave and attendance records using time management software, ensuring accurate entry of leave types, entitlements, applications, certificate collection, approvals, and daily attendance tracking to maintain workforce compliance.
• Process monthly payroll for designated job sites by accurately handling new hires, terminations, transfers, and promotions to ensure timely and error-free salary disbursements.
• Review and verify payroll source documents, investigate discrepancies, and implement corrective actions to maintain payroll accuracy and integrity.
• Submit government and related claims such as levy waiver, childcare leave, maternity/paternity leave, NS makeup claims, and income tax (IR21) matters promptly and accurately to ensure regulatory compliance.
• Provide clear and timely advice, information, and support to department managers and employees regarding HR policies and leave balances to facilitate informed decision-making.
• Maintain and regularly update the master employee database and personal files to ensure accurate and current employee records.
• Administer training-related activities by coordinating and enrolling employees in internal and external courses and maintaining up-to-date training records to support employee development.
• Prepare employment contracts, confirmation letters, increment and promotion letters, and other HR-related correspondence to support employee lifecycle management.

Preferred competencies and qualifications

• GCE 'A' level, diploma, or higher in a relevant discipline.
• 1-2 years of relevant HR experience demonstrating proficiency in HR administration and payroll processing.
• Proficient in Microsoft Office applications to efficiently manage HR documentation and reporting.
• Demonstrated ability to manage multiple tasks proactively and work effectively under tight deadlines.

Key Job Responsibilities

1. Liaise with freight forwarders, transport teams, and carriers to schedule timely deliveries and shipments.
2. Collaborate with the Acceptance and Cargo Releasing teams to ensure smooth cargo movement.
3. Maintain accurate records of cargo movements, ensuring data is updated in the warehouse management system.
4. Address inquiries from customers or internal teams regarding shipment statuses and delays.
5. Provide timely updates on cargo readiness and dispatch schedules.
6. Ensure all warehouse staff adhere to safety protocols and operational guidelines.
7. Monitor and report any incidents, damages, or irregularities during operations.
8. Oversee and guide warehouse staff during export operations to meet deadlines and standards.

Requirements

• Minimum 2 years of experience working in a warehouse setting or in logistics; experience in operating Management
• Strategic thinking ability, proven implementation results
• Experience in customer service with good communication & interpersonal skills
• Willingness to work flexible hours, including overtime and weekends

• Review and verify invoices, payment requests, and supporting documents to ensure compliance and accuracy.
• Process and upload invoices into the accounting system promptly and without errors.
• Monitor expenses and process staff expense claims to maintain financial control.
• Prepare month-end closing reports, including general ledger entries, journal entries, schedules, and bank reconciliations to support accurate financial statements.
• Reconcile accounts payable with suppliers’ statements and resolve discrepancies to ensure vendor account accuracy.
• Liaise with vendors and respond to queries promptly to maintain strong supplier relationships.
• Prepare and generate monthly financial reports to inform management decisions.
• Assist in month-end closing activities to ensure timely financial closure.
• Support GST filing and perform other ad hoc finance-related duties as assigned to maintain regulatory compliance.

Required competencies and certifications

• Diploma or Degree in Accounting, Finance, or related field.
• Minimum 2–3 years of relevant accounting experience.
• Knowledge of full set of accounts and accounting principles.
• Familiarity with accounting software such as QuickBooks, Xero, or similar systems.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
• Good understanding of GST regulations and compliance.
