About the Role
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO. This is a part-time role (approximately 4 hours per day, Monday to Friday) focused primarily on email management, communication, follow-ups, and executive support.
The ideal candidate is an excellent communicator with strong judgment, able to prioritize independently, draft professional responses, and ensure important matters are handled promptly.
Key Responsibilities
Email Management
- Review and triage the CEO’s inbox daily.
- Categorize emails by priority and urgency.
- Draft replies on behalf of the CEO for review and approval.
- Handle routine correspondence independently where appropriate.
- Ensure important emails are not overlooked and receive timely responses.
- Maintain an organized inbox and filing system.
Executive Support
- Track action items and follow up with internal and external stakeholders.
- Prepare summaries of important emails, discussions, and decisions.
- Coordinate meetings and calendar scheduling when required.
- Assist with travel, logistics, and administrative arrangements as needed.
- Maintain records of key conversations and commitments.
Communication & Coordination
- Serve as a professional point of contact for partners, customers, candidates and other stakeholders.
- Coordinate across teams to gather information needed for responses and follow-ups.
- Ensure commitments made by the CEO are tracked and completed.
Requirements
- Excellent written and spoken English.
- Strong organizational and time management skills.
- High attention to detail.
- Ability to handle confidential information with discretion.
- Strong judgment and ability to prioritize independently.
- Proficiency with Gmail, Google Workspace, and common productivity tools.
Advantageous to have:
- Prior experience as an Executive Assistant, Personal Assistant, Chief of Staff, or Administrative Assistant.
- Experience supporting founders, CEOs, or senior executives.
- Familiarity with startup environments.
- Experience managing high-volume email inboxes.

Working Arrangement
- Part-time: Approximately 20 hours per week.
- Flexible working hours, with availability during business hours for urgent matters.
- Remote or hybrid arrangement possible.
