About the Role

The Associate, Business Production Support will be a key member of the Supply Chain Management team, playing an essential role in driving fulfilment activities for Hegen By Me (HBM), our bespoke product personalisation service. In this role, you will be responsible for ensuring that every product is carefully customised to meet and exceed our customers’ expectations. You will work closely with internal teams to coordinate orders, manage production processes, and maintain high standards of quality and efficiency throughout the fulfilment journey.

Key Responsibilities:

• Support the Supply Chain Management team in all HBM fulfilment activities, including accurate documentation and maintenance of administrative records.
• Manage and process HBM orders received through Hegen’s website, performing customisation and personalisation of products to meet customer specifications.
• Collaborate closely with internal teams to coordinate and execute HBM orders efficiently.
• Follow and execute standard operating procedures to ensure the smooth and timely fulfilment of all orders.
• Uphold workplace health and safety standards while operating printing machines, including UV and laser printers.
• Troubleshoot and perform basic maintenance on printing machines to minimise downtime and ensure smooth operations.
• Support the Supply Chain Management team in areas such as warehousing, inventory management, and administrative functions, as required.
• Ensure all personalised products meet the highest standards of quality and consistency.
• Oversee and follow up on day-to-day inventory, logistics, and supply management.
• Perform any other duties as assigned.

Requirements:

• Educational background and working experience in Warehouse/Logistics, Printing, or related field is preferred.
• Basic computer skills are required,with the ability to navigate standard office applications efficiently.
• Knowledgeof Adobe Illustrator and Photoshop will be advantageous
• Familiarity with UV and laser printing processes is highly desirable but not mandatory
• A good team player with a pleasant and proactive personality
• Demonstrates a strong sense of responsibility and commitment to completing assigned tasks accurately and on time.
• Capable of working effectively in a fast-paced environment, managing multiple tasks and priorities efficiently.
• Candidates with no experience with UV and laser printing are welcome as training will be provided.

The Front of House Manager will report to the Head of People & Workplace Experience, with the Deputy Head of Workplace Experience overseeing day-to-day operations and guidance. As the face of Hegen’s award-winning Experiential Centre, you will ensure that every guest interaction reflects our commitment to quality and excellence.

In this role, you will embody Hegen’s values, ensuring that every guest feels welcomed, prioritised, and engaged. Your professionalism, initiative, and ability to anticipate guest needs will be instrumental in delivering a seamless and elevated experience.

In addition to overseeing front-of-house operations, you will also take ownership of sales performance and inventory management within the Experiential Centre, ensuring both operational excellence and commercial effectiveness.

This is a maternity cover role (8 months), with candidates who are able to commence immediately preferred.

Responsibilities:

• You will oversee the daily Front of House operations, including welcoming guests upon arrival and providing a warm, engaging introduction to the Experiential Centre. Your professional and personable approach will set the tone for a positive and memorable experience.
• You will manage the front desk and serve as the primary point of contact for all visitors, addressing enquiries and guiding guests through Hegen’s product offerings. You are expected to maintain a strong understanding of our products and services in order to communicate confidently and effectively.
• You will support and drive in-centre sales by engaging customers, understanding their needs, and recommending suitable products. You will contribute to overall sales performance by converting walk-in traffic into meaningful customer experiences and purchases.
• You will be responsible for inventory management, including monitoring stock levels, coordinating replenishment, and ensuring accuracy in stock tracking. You will also ensure that all product displays are well-stocked, visually appealing, and aligned with brand standards.
• You will maintain the overall upkeep and organisation of the Experiential Centre, ensuring that the space remains clean, well-presented, and inviting at all times. This includes working closely with team members to ensure that displays, materials, and fixtures are current and in optimal condition.
• You will manage guest interactions, including addressing feedback, questions, or concerns in a timely and professional manner. Your ability to listen actively and respond thoughtfully will be key in upholding a high standard of customer satisfaction.
• You will support the execution of events and workshops hosted at the Experiential Centre, ensuring smooth on-site coordination and a seamless experience for all participants.
• You will gather and consolidate guest feedback, providing insights to the management team to support continuous improvement of service standards and operational processes.

Requirements:

• At least 3 years of relevant experience in hospitality, retail, facilities, or office management roles, preferably within a customer-facing environment
• Strong organisational and problem-solving skills, with a keen eye for detail
• Demonstrated ability to support sales and manage operational responsibilities, including inventory
• Positive, proactive team player with a strong sense of ownership
• Excellent communication and interpersonal skills
• Mandarin-speaking ability is required due to the nature of business operations and client interactions
• Fast learner who is comfortable with technology and systems
• Able to multitask effectively and perform well in a fast-paced environment
• Demonstrated ability to thrive in an agile and entrepreneurial setting
• Strong sense of aesthetics and presentation will be beneficial
