Overview
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and operational support. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
1. Calendar & Schedule Management
- Manage and coordinate daily schedules, meetings, and appointments
- Prioritize commitments to ensure effective time management
- Send timely reminders and prepare relevant materials in advance of meetings
2. Administrative Support
- Manage emails, phone calls, and correspondence on behalf of the manager
- Prepare documents, reports, and presentation materials with accuracy and efficiency
- Maintain well-organized filing systems, both digital and physical
3. Meeting & Event Coordination
- Coordinate internal and external meetings, including venue booking, logistics, and materials preparation
- Take accurate meeting minutes and track follow-up action items
- Support the planning and execution of team events, client sessions, and workshops
4. Client & Stakeholder Coordination
- Serve as a key point of contact for clients and internal stakeholders
- Ensure clear communication and timely follow-ups across all parties
- Uphold a high level of professionalism, discretion, and confidentiality
5. Task & Project Support
- Assist in monitoring ongoing projects, timelines, and deliverables
- Coordinate across teams to ensure deadlines and objectives are met
- Handle ad-hoc tasks and provide problem-solving support as required
