Warehouse Administration
- Prepare and process warehouse inbound and outbound documentation.
- Update and maintain inventory records in the Warehouse Management System (WMS).
- Coordinate with warehouse operations staff on receiving, storage, picking, packing, and delivery activities.
- Monitor stock movement and ensure accurate inventory transactions.
- Prepare daily, weekly, and monthly warehouse reports.
- Maintain filing and record-keeping of operational documents.
- Coordinate with customers regarding stock status, deliveries, and warehouse requirements.
- Assist in stock-taking and inventory audits.
- Ensure compliance with company procedures and customer requirements.
Billing & Invoicing
- Generate invoices for warehousing, transportation, and value-added services.
- Verify billing information against operational records and approved rate cards.
- Ensure timely and accurate billing to customers.
- Prepare debit notes, credit notes, and supporting documents.
- Monitor billing discrepancies and resolve customer billing queries.
- Maintain billing records and supporting documentation.
Customer Service & Coordination
- Liaise with customers, and internal departments.
- Respond to customer enquiries regarding stock movements, deliveries, and invoices.
- Support customers with documentation requests and reporting requirements.
General Administrative Duties
- Handle emails, phone calls, and correspondence related to warehouse operations.
- Support management with ad hoc administrative tasks.
- Assist in implementing and improving warehouse administrative procedures.
Preferred Skills
- Knowledge of warehouse operations and inventory control.
- Experience with WMS, ERP, or inventory management systems.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Good organizational and communication skills.
- Attention to detail and accuracy in billing and documentation.
- Ability to work independently and meet deadlines.
