We are looking for an experienced Workplace Support Coordinator to manage day-to-day administrative and operational support functions within our facility. The candidate must be proactive, organised, and capable of handling multiple support tasks independently.
Key Responsibilities
- Coordinate and manage daily office and facility administrative operations
- Maintain and update company records, filing systems, and documentation
- Liaise with vendors, contractors, and internal departments for operational requirements
- Manage procurement of office supplies, stationery, and general facility needs
- Support HR administrative tasks such as attendance tracking, leave records, and onboarding coordination
- Handle incoming and outgoing correspondence, emails, and calls
- Coordinate meetings, schedules, and travel arrangements for management
- Assist in permit-to-work documentation and safety compliance paperwork
- Monitor and follow up on maintenance requests and facility upkeep
- Prepare reports, summaries, and presentations as required by management
Requirements
- Minimum 8 years of relevant experience in administrative or office coordination roles
- Experience in process, oil & gas, marine, or industrial sector preferred
- Proficient in MS Office (Word, Excel, Outlook)
- Strong organisational and multitasking abilities
- Good communication skills — both written and verbal
- Able to work independently with minimal supervision
- Familiarity with Singapore workplace safety documentation is an advantage
