Main Tasks and Responsibilities

• Manage the day-to-day office tasks of the Managing Director
• Maintain accurate calendars with an understanding of prioritizing important deliverables
• Draft high-level presentations, communications, and documents using Word, Excel, and PowerPoint
• Collaborate with other team members to organize various corporate events. Manage and maintain Directors' schedules, appointments, and travel arrangements where applicable
• Prepare, review, and collate documents/presentations, coordinate with all consultants for tenders/EOIs
• Monitor, screen, respond to, and distribute incoming communications
• Provide administrative support for Projects as well and cover when necessary for Reception duties

Competencies and Experiences

• Minimum 3-5 years in administrative/executive support roles with increasing responsibilities
• Diploma or Degree in Secretary/Administration/Business Studies
• Strong organizational skills, attention to detail, and a very high level of accuracy with particular attention to deadlines
• Ability to maintain confidentiality for all company materials and information
• Good English communication skills
• Highly accountable with excellent professional work ethics and high-level integrity
• Extraordinary ability to multitask, organizational planning skills
• Ability to prioritize work, manage time effectively, and be proactive
• Proficiency in MS Office 365 and virtual meeting apps

Job Description & Requirements

Responsibilities

• Originate and develop creative design concepts and the design documents during the design development phase
• Develop solutions to design and detailing issues
• Support the resolution of design solutions during the construction documents and construction administration phases
• Oversee project team members or less experienced designers to ensure design intent
• Ensure project is on schedule and within budget
• Ensure that documentation for all phases conforms to quality assurance, quality control and best practice standards
• Set up project team software parameters and manage standards
• Communicate with client representatives to verify design requirements and specifications, progress reviews and design delivery
• Prepare client presentations and present design concepts and drawings
• Provide technical support and project communications to the team as required
• Attend on-site visits and client meetings to verify design requirements and deliver design progress reviews

Qualities and skills required

• Minimum Bachelor's Degree/Professional Degree/Master's Degree in Architecture from a recognized institution registrable with BOA or equivalent
• Minimum 5 years of working experience in the related field
• Advanced design, visual, and graphic presentation skills
• Demonstrated ability to manage the design of small to large projects to fruition
• Well-versed with contract admin, local Authorities regulations and codes, and knowledge of Virtual Design and Construction (VDC)/Corenet-X
• Conversant with REVIT and 3D Software
• Ability to work in a fast-paced team environment
