We are a boutique interior designstudio dedicated to crafting thoughtful, refined spaces. We are seeking anAdministrative Assistant who brings a strong sense of organisation, discretion,and care to support the studio’s daily operations.
This role is integral in ensuring thatboth client experiences and internal workflows are handled with clarity,efficiency, and attention to detail.
Key Responsibilities
Studio & Administrative Support
- Provide day-to-day administrative support to ensure smooth studio operations
- Manage schedules, appointments, and meeting coordination with a high level of organisation
- Handle correspondence with clarity and professionalism
- Maintain well-structured documentation and filing systems
Project Coordination Support
- Assist in the preparation of quotations, invoices, and project-related documents
- Support the team in tracking timelines and following up on key deliverables
- Coordinate internally with designers and externally with contractors and suppliers
- Ensure project materials, drawings, and documents are properly organised
Client & Vendor Coordination
- Arrange client meetings, showroom visits, and site appointments
- Liaise with vendors and suppliers to ensure timely updates and deliveries
- Support in creating a smooth and considered experience for clients at every touchpoint
Operations & Finance Support
- Assist with invoice tracking, payment follow-ups, and basic documentation
- Support internal coordination on project costing and expense tracking
Studio Environment & Support
- Maintain a well-presented and organised studio and showroom environment
- Assist with preparation for client presentations, meetings, and studio events
- Support with general operational tasks as required
Requirements
- Diploma or equivalent in Business Administration or a related field
- Prior administrative experience (experience in interior design, architecture, or construction is advantageous)
- Proficient in Microsoft Office or Google Workspace
- Strong organisational and coordination skills
- Clear and professional communication abilities
