General Description: We are seeking a proactive and detail-oriented Receptionist cum Administrative Assistant to support the full spectrum of administrative functions and ensure the smooth day-to-day operations of the office.

Scope & Responsibilities:

• Report to the Administrative Manager and provide administrative support during office hours (Monday to Friday, 8:00 AM to 5:30 PM).
• Assist the Administrative Department with daily administrative duties and office operations.
• Attend to inquiries from directors, visitors, and guests professionally, including managing incoming telephone calls.
• Serve refreshments to directors, visitors, and guests when required.
• Maintain a clean, organised, and welcoming reception area, and direct visitors appropriately.
• Oversee office housekeeping matters and coordinate with cleaning personnel.
• Manage meeting room bookings and ensure meeting facilities are properly prepared.
• Ensure the smooth operation of office equipment and monitor service contracts and renewal schedules.
• Handle document scanning, printing, photocopying, filing, and other document management tasks.
• Maintain records of incoming and outgoing mail, courier services, and deliveries.
• Source cost-effective vendors and suppliers as required.
• Arrange travel bookings, visa applications, accommodation, and transportation for employees.
• Coordinate with external vendors and service providers to maintain office facilities and services.
• Assist in the procurement and distribution of corporate gifts, festive gifts, and company souvenirs.
• Monitor and maintain inventory levels of office stationery, pantry supplies, and other office necessities.
• Assist in organising employee engagement and welfare activities.
• Carry out other duties and responsibilities assigned by the Company from time to time.

Requirements:

• Relevant administrative experience is preferred.
• Minimum GCE O' Level qualification or equivalent.
• Entry-level candidates with a positive attitude and willingness to learn are welcome to apply.
• Occasional after-office-hours support may be required for travel arrangements due to differing global time zones.
• Occasional after-office-hours coordination with external vendors may be required when necessary.

Job Description

The Technical Superintendent will support the management and execution of offshore and marine projects, including asset inspections, maintenance planning, project coordination and technical support for company operations.

Key Responsibilities

• Report to the assigned Supervisor/Manager.

• Plan and conduct regular site visits to support the company's operational activities for its assets.

• Carry out inspections of company assets, such as vessels and offshore platforms, during construction, operation, or project evaluation stages.

• Investigate technical issues encountered during operations and recommend appropriate solutions.

• Source, review, and evaluate quotations from vendors and suppliers for equipment, parts and services.

• Conduct maintenance audits to assess the operational condition of company assets.

• Assist in developing and maintaining maintenance systems for company assets where required.

• Coordinate with relevant departments and stakeholders on technical and operational matters.

• Provide progress updates to management on ongoing projects, including charter hire, development projects and new building projects.

• Support project management activities such as site inspections, construction supervision and project coordination when required.

• Assist in budget preparation for projects, repairs and maintenance requirements.

• Evaluate the performance of suppliers and service providers.

• Ensure compliance with the company’s Quality Management System (ISO), HSSE (Health, Safety, Security and Environment) standards and ESG practices.

• Participate in continuous improvement initiatives within the department and the organisation.

• Perform other duties assigned by the company from time to time.
  

  Requirements

  • A diploma or Degree in Engineering or a related discipline.

  • Minimum 10 years of relevant experience in the offshore or marine industry.

  • Experience in supervisory or project coordination roles within the offshore or marine industry would be advantageous.

  • Familiarity with project management or construction management practices.

  • Proficiency in Microsoft Office applications; experience with drafting software would be an advantage.

  • Knowledge in one or more engineering disciplines such as Structural, Mechanical, Electrical, Instrumentation, Architectural Outfit or Piping would be beneficial.

  • Strong problem-solving, communication and interpersonal skills.

  • Ability to work effectively with teams from diverse backgrounds and across different locations.

  • Candidates with Safety Supervisor or Ship Repair Manager certification will have an added advantage.

  • Willingness to travel( e.g: last min travelling), including overseas assignments, when required.

As a Project Superintendent, you will be responsible for the following duties:

Main Tasks and Responsibilities

• Report to the assigned Supervisor/Manager.
• Maintain and manage the document filing and control system for project-related documentation. Projects may include, but are not limited to, new vessel construction, vessel operations, renewable energy projects, and offshore oil and gas developments.
• Communicate effectively with relevant departments, suppliers/vendors, and third parties regarding project documentation and submissions.
• Assist in investigating technical issues encountered during project execution and support the development of practical solutions.
• Assist in monitoring project progress through site visits and participation in progress meetings.
• Assist in sourcing, obtaining, and reviewing quotations from vendors/suppliers for parts, equipment, and services.
• Participate in the Company’s ISO internal audit activities where required.
• Coordinate with relevant departments and personnel on technical and operational matters.
• Provide regular updates to the assigned Supervisor/Manager or relevant Person-in-Charge on ongoing projects, charter hire activities, development projects, or new vessel builds.
• Assist in the preparation of budgets for new projects, repairs, or maintenance requirements.
• Support the evaluation of suppliers, service providers, and manufacturers where applicable.
• Contribute to departmental or organisational improvement initiatives, including continuous improvement efforts.
• Ensure compliance with the Company’s Quality Standards (ISO), HSSE (Health, Safety, Security and Environment), and ESG (Environmental, Social and Governance) practices in all assigned tasks.
• Participate in the Company’s ESG initiatives and contribute suggestions for improvement where appropriate.
• Carry out other duties and responsibilities assigned by the Company from time to time.

Requirements / Knowledge / Competencies

• Diploma or Degree in Engineering, Shipbuilding, Marine Studies, or a related field, or equivalent relevant industry experience.
• Experience in offshore, marine, or shipbuilding environments will be an advantage.
• Approximately 3 years of relevant experience in Oil & Gas, offshore projects, or vessel construction will be considered.
• Willingness to learn and develop within a project-based operational environment.
• Participation in project-related meetings and company meetings where required.
• Proficiency in Microsoft Office applications; experience with drafting or engineering software will be an advantage.
• Strong communication and interpersonal skills, as the role involves coordination with clients, subcontractors, and stakeholders from diverse backgrounds.
• Knowledge or experience in one or more engineering disciplines such as Structural, Architectural Outfit, Electrical, Instrumentation, Mechanical, or Piping will be an advantage.
• Ability to work collaboratively within a team environment while managing assigned responsibilities.
