Position Summary

Provide comprehensive secretarial and administrative support to the Managing Director and Senior Management Team while assisting with management reporting, data consolidation, project coordination, and busines ssupport activities. The role serves as a key liaison between departments to ensure smooth communication, timely follow-up of action items, and effective management reporting.

Key Responsibilities

Executive Secretarial Support

• Provide full secretarial and administrative support to the Managing Director and Senior Management Team.
• Manage calendars, appointments, meetings, and travel arrangements.
• Coordinate meeting schedules, venue bookings, and meeting logistics.
• Prepare meeting agendas, presentation materials, minutes of meetings, and follow-up action lists.
• Handle correspondence, emails, and confidential documents professionally and discreetly.
• Maintain filing systems and business records.

Management Reporting Support

• Consolidate weekly and monthly operational reports from various departments.
• Assist in preparing management reports, presentations, dashboards, and business review materials.
• Support the collection, validation, and compilation of business data for management review.
• Monitor and follow up on key action items arising from management meetings.
• Assist in maintaining organization charts, department contact lists, and reporting templates.

Business & Project Coordination

• Coordinate cross-functional activities and follow up with departments on assigned tasks and deadlines.
• Liaise with internal departments and external parties to ensure timely communication and resolution of issues.

Basic Data Analysis & Reporting

• Prepare routine reports using Excel templates.
• Update and maintain dashboards and reporting databases.
• Perform basic analysis and data validation to ensure reporting accuracy.
• Support management with ad-hoc data requests and information gathering.

Administrative & General Support

• Arrange travel bookings, accommodations, and logistics for management staff.
• Coordinate company events, management meetings, and customer visits when required.
• Maintain confidentiality of company information and management discussions.
• Perform other duties assigned by the Managing Director or Senior Management Team.

Qualifications

• Diploma or Degree in Business Administration, Management, Economics, or related field.
• Minimum 3–5 years of experience in executive secretarial, administrative, or business support roles.
• Experience supporting senior management is preferred.

The Job:

·   Perform Electronic, Electrical, and Mechanical parts assembly and testing as required.

·    Perform basic troubleshooting and rework or repair of production finished products.

·    Inspect of partial or finished products for defects or deviation from specifications.

·    Report any non-conformance or quality issues to the supervisor or QA team.

·    Operate tools, jigs and fixtures, equipment in a safe and efficient way.

·    Maintain cleanliness and functionality of tools and equipment.

·    Record required production data and issues encountered, complete checklists and production report as required.

·    Provide feedback for process improvement and efficiency enhancement.

Requirements:

Job Duties & Responsibilities

• Perform store/ shipping work functions, including all incoming receiving related activities, breakbulk & verification of cargoes
• Ensure proper storage of goods to designated locations
• Preparation, packing for shipment and related outgoing job tasks
• Kitting and perform daily cycle counting related activities
• Deliver goods to customer location and/or collection of goods from customer
• Perform any other ad-hoc duties as assigned by your immediate supervisor

Requirements

Job Summary

The Systems Analyst is responsible for supporting, maintaining, and enhancing enterprise systems, primarily NetSuite ERP and/or Oracle(EBS/11i). This role serves as the key liaison between business users and technical teams, ensuring smooth system operations, issue resolution, and successful delivery of system-related projects, including ERP migration initiatives.

Key Responsibilities

Business Analysis & Stakeholder Engagement

• Gather, analyze, and document user requirements across Finance, Supply Chain, and Operations
• Translate business needs into functional and technical specifications
• Collaborate with stakeholders to propose system improvements and automation opportunities

System Development & Enhancement

• Design, develop, and implement enhancements in Oracle (PL/SQL, reports, interfaces) and NetSuite (SuiteScript, workflows, saved searches)
• Work with developers or independently deliver small to mid-scale solutions
• Support integrations between Oracle, NetSuite, and other internal/external systems
• System migration when required
• Work with AI, automation, dashboards, and reporting

Application Support & Troubleshooting

• Provide day-to-day support for Oracle and NetSuite users
• Investigate and resolve system issues, data discrepancies, and process gaps
• Perform root cause analysis and implement preventive solutions

Testing & Deployment

• Prepare test scripts, conduct UAT, and support deployment activities
• Ensure solutions meet business requirements and quality standards
• Manage change requests and version control

Reporting & Data Management

• Develop and maintain reports/dashboards using Oracle tools and NetSuite reporting (e.g., saved searches, SuiteAnalytics)
• Ensure data integrity and consistency across systems

Documentation & Training

• Maintain functional and technical documentation
• Conduct user training and create user guides to support adoption

Project Management (Ad Hoc Projects)

Requirements

• Bachelor’s degree in information systems, Computer Science, Business IT, or related field
• 3–5 years of experience in ERP systems support, development, or implementation

· Provide administrative support to Marketing Engineers.

· To liaise closely with customers in ensuring efficient processing of new orders, rescheduling of open orders, delivery schedule and RMA.

· To verify, acknowledge and process new Purchase Order such as pricing, order leadtime, product information, ship to and bill to address and etc.

· To process SWO, Price Change, AVL, RFQ, Doc-in, RMA, e-Billing and e-PR promptly.

· To maintain accurate and updated pricing for Finish Goods and component in the system.

· To provide shipment details to customers.

· To update monthly sales, OTD, Open Order Report, Customer’s report.

· To upload the verified SWO into SentryFile portal.

· To support the Project Management team in the execution of customer projects. This will include the management of functional requirements from a technical, manufacturing and perspective to deliver the project on time.

· Interface with functional departments on the progress of the work, updating the project plan and where appropriate to identify the relevant activities and critical items having significant impact on the project deliverables and take appropriate action to resolve them.

· Any other adhoc duties as required.
